Property Administrator
Contract to Hire; $45-$50K
Atlanta, GA
Responsibilities:
- Provide administrative support to the Property Management, Engineering and Security teams (i.e., assist with conference room scheduling and requests, room set up/clean up, catering needs, etc.)
- Manage and greet all visitors in a friendly and professional manner providing superior customer service support
- Effectively answer calls and questions; direct calls as appropriate and provide overall support/service
- Responsible for managing the parking validation process for property management visitors and guests
- Responsible for the daily administration of the mail, copy and supply center for the Property Management, Engineering and Security teams. To include, but is not limited too; handling/distributing incoming and going mail, packages, etc., stocking printers/copier with letterhead, maintaining paper and toner supplies, requesting proper service for operation of equipment and tracking supply expenses vs. budget for office and breakroom expenditures
- Assist property manager and A/P with processing invoices, sending invoices to accounting, reviewing and researching outstanding invoices, scanning and records management
- Dispatch correct personnel (i.e., housekeeping, engineering) based on request type, ensure that work order requests are completed in a timely manner and report issues with unresolved requests to Chief Engineer or APM’s
- Assist Property Management team with the preparation and organization of new vendor/lease files including labeling, hole punching and filing new files
- Manage and maintain Property Management team kitchen and supplies
- Manage the daily start up and close down of the Property Management office
- Manage the administrative functions of the Life Safety process (i.e., establish drill calendar, notify tenant contacts, distribute notifications, prepare for building evacuation and attend safety warden training)
- Other duties as assigned
Required Education, Knowledge, Skills and Abilities:
- High School Diploma required, Bachler’s Degree preferred
- 3+ (three) years of administrative experience
- Proficient with Microsoft Office and Adobe
- Excellent written and verbal communication skills
- Good aptitude for math to include simple algebra, percentages, fractions
- Ability to listen effectively and route requests appropriately
- Ability to learn quickly and assess situations to provide expedient resolutions
- Ability to perform under hectic conditions
- Ability to work as a team member
- Detail oriented with ability to organize and prioritize tasks
- Must be able to move about property – standing, utilizing stairs and lift up to 25 lbs
