Roles:
Accounting & Compliance Coordinator:
-Issuing & Approving Contracts & Change Orders via DocuSign (Construction Subs, Consultants, Maintenance, Post Construction).
-Issuing & Tracking Purchase Orders for materials
-Accounts Payable Invoicing/Subcontractor Invoices (Enter into Procore + AppFolio)
-Insurance Compliance Tracking & Approval (CSLB/W-9/COIs (GL/WC/PL/Auto), City Licenses) + Weekly Compliance Emails to Supervisors(Bryan/Blake) + Setup New PAH Subs in Procore Directory
-Bank Draws/Monthly Billing Cycle(Billing Reminders to Subs/GCs, Confirm Past Cycle Invoices=Paid, Confirm all COs Signed & Invoices Approved, CMF Calculator, Prep Draw Package Docs for Signature & Submittal, Manage Cash Flow Monitoring if Bank Draw is Needed, Etc.)
-Procore Job Setup/Closeout

Administrative Assistant:
-Excellent communication skills being the liaison between our Santa Barbara and Hermosa Beach offices.
-Coordinating schedules, setting up meetings and providing support to Project Managers.
-Scanning and filing documents in an organized manner that are mailed or emailed to our company’s remote cloud shared filing system.
-Overseeing & anticipating the needs of the office space in Hermosa Beach by managing the office supplies inventory and placing orders as necessary.
-Assist processing payroll (contacting employees & sub-contractors to submit hours).
-Receive and sort incoming mail and deliveries as well as manage outgoing mail.
-Communicate with IT company & help troubleshoot any problems with Wi-Fi and equipment in the office.

Qualifications:
-2 years of work experience in an administrative/office management role is required. (3-5 years preferred)
-2 years of accounting/bookkeeping experience is strongly preferred. (3-5 years preferred)

-2 years of compliance experience is strongly preferred. (3-5 years preferred)
-BA in either Accounting, Construction Management, Business Admin is preferred.
-We use Microsoft Excel, AIA – Contracts Creation Software, AppFolio - Property Management Software, & Procore – Contracts Management Software – experience with these programs is preferred, but not required.
-A great candidate has good verbal and written communication skills, is efficient, detail-oriented, self-motivated and has great organizational skills to manage multiple projects at a time.
-Works well with others and is comfortable with routinely shifting demands.
-Property management &/or construction background is helpful.

*Salary will depend on level of experience.
