Floating Administrative Assistant

Our client, one of the most prestigious private equity firms in the world, is looking to hire an administrative assistant to work as a floater across a variety of departments. The successful candidate will have administrative experience in a corporate environment and a positive and flexible attitude.

RESPONSIBILITIES

  • Utilize Microsoft Office Suite to maintain calendars, contacts and tasks
  • Provide general administrative support as requested (assist with incoming phone calls, moderate copying/putting together presentations/preparing materials for meetings, etc.) and provide back up administrative support as needed
  • Schedule and coordinate internal and external meetings
  • Work with full-service corporate travel agent to coordinate complex travel arrangements
  • Complete online expense forms and track reimbursements
  • Pro-actively anticipate work assignments whenever possible
  • Maintain confidentiality of all sensitive issues and materials
  • Work with departments in need of extra help; and other reasonably related duties as assigned.
  • Work with HR team to process invoices, prepare New Hire Orientation binders, prepare Employee Folders (Offer Letter, Temp, Exit, FLMA), send out FedEx packages; submit contracts to vendor contract management portal; enter resumes and candidate information into the database

REQUIREMENTS

  • 1-2 years of corporate administrative experience
  • College degree preferred
  • Excellent Microsoft Office Skills (including Outlook, Word, PowerPoint, and Excel)
  • Strong organizational skills and attention to detail
  • Ability to work independently with strong follow-through skills
  • Excellent communication skills – both verbal and written
  • Flexibility to juggle moderate degree of multiple and changing priorities
  • Resourcefulness (especially online) in executing projects
  • Collaborative/teamwork attitude and skills a must


SALARY
$60-75K (DOE) + paid OT + discretionary bonus

HOURS
9am-6pm + flexibility for OT as needed
