Office Manager

Axiom Forensic young, growing, forensic engineering firm in existence to promote justice and save lives, and are seeking an Office Manager with bookkeeping experience to join our team in Westlake Village, California. We are a low-volume, high-quality firm with an eye for detail, performing advanced technical analyses (related to traffic collisions) for law firms, insurance companies, and manufacturers.

We encourage our staff to maintain a healthy balance and offer flexible hours and a casual-dress code. Our office is in a nice area, with plenty of windows / light, and all employees have adjustable stand-up desks. A benefits package is available after 60 days.

Duties include:

  • Front Office Administration
  • Case setup and management
  • Create and organize office operations and procedures
  • Bookkeeping
  • Invoice generation
  • Follow-up on accounts receivable
  • Serve as first contact on telephones (low call volume)
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
  • Manage schedules, calendars and appointments
  • Manage travel itineraries
  • Manage vehicle specification databases
  • Sort and deliver mail to staff daily
  • Order office supplies and maintain inventory
  • Coordinate with IT/Consultant on maintenance of all office equipment
  • Manage relationships with vendors, ensuring all items are invoiced / paid in a timely manner
  • Assist CEO with miscellaneous tasks including errands (at times, personal errands)

Due to the esoteric nature of the business, some on-the-job training will be necessary. However, the candidate must be technically competent and computer savvy, as most tasks will be performed via computer and will include deep understanding of: the Google suite, cloud-based systems, Microsoft Office, etc. Requirements include:

  • 2+ years of experience in a similar role
  • Associate’s or bachelor’s degree
  • Bookkeeping experience
  • Proficiency with Microsoft Office and PCs
  • Understanding of Google Suite, or ability to quickly learn
  • Articulate and professional
  • Enthusiastic, self-starter who works well with a team
  • Ability to handle confidential matters
  • Must be an excellent problem-solver, with the ability to solve issues independently
