Overview

The Administrative Assistant will enhance the firm's effectiveness by providing administrative services to all staff, under direct supervision.  This position will support teams and projects in assigned market sectors and offices.  In this role, an employee will be expected to develop and demonstrate proficiency in regards to the essential function of the job found below.

 

Responsibilities
  • Provide administrative support to project teams throughout the office.
  • Manage multiple conference room calendars for client meetings, training, etc.
  • Verify that all information input into Vision is accurate.
  • Responsible for all registration requests.
  • Archive file boxes using the Atwell RMS system.
  • Maintain neatness throughout general office areas.
  • Ability to coordinate large meetings as needed.
  • Monthly credit card reconciliation.
  • Ability to operate company switchboard.
  • Place large catering orders and ensure timely set up.
  • Manage kitchen duties for entire office
  • Stock snacks, napkins, plates, bowls and silverware
  • Ensure tidiness and cleanliness throughout the day
  • Load and run dishwasher
  • Clean out refrigerators on a bi-weekly basis
  • May order misc. items as needed for all Atwell facilities.
  • Assist with employee professional license renewals.
  • Assist with new hire set-up:
  • Concur Travel profile set-up
  • Distribute business card and nametag e-mails
  • Desk set-up for local employees

 

Qualifications
  • One to Three (1-3) years of experience required.
  • Excellent communication and people skills.
  • Knowledge of internet, Microsoft Word, Excel, and PowerPoint.
  • Minimum of high school diploma
