Client Service Associate – Atlantic Wealth Management

This position is located in the Morehead City, NC branch office at 712 Bridges Street, Morehead City, NC 28557.

General position description:

The successful candidate will provide excellent administrative support to team members and clients by performing tasks directly related to client service, office administration and financial planning support that would assist financial advisors and planners in delivering the highest level of service to their clients in an effort to help them reach their most important goals.

Primary Responsibilities:

Client service

  • Answers all incoming phone calls, screens caller and identifies needs, handles requests or determines best team member and properly forwards the call

  • Answers all incoming service related emails for clients

  • Schedules all client meetings for account reviews and necessary follow up

  • Serves as the Director of First Impressions by greeting guests in a warm and welcoming manner, making them feel at home in our office

  • Takes initiative to proactively respond to incoming client requests and prioritize follow up through to completion

  • Serves as a concierge for all clients, matching their needs with appropriate vetted solutions

  • Performs Random acts of Kindness using a creative approach to leave a lasting impression on our clients

  • Conducts relationship building in a genuine and sincere manner consistent with the firm's core values

  • Sends out correspondence to clients and prospective clients in a timely manner using firm approved software

  • Leads the new client onboarding process through to completion

Office Administrative support

  • Maintains accurate electronic records and updates client records in a timely manner in accordance with compliance guidelines and regulations

  • Prepares for client review meetings to include gathering and preparation of all necessary files and attachments

  • Effectively uses CRM system to maintain accurate and up-to-date client records

  • Processes incoming and outgoing mail and UPS sends daily

  • Proactively looks for ways to increase efficiencies across all administrative systems saving time and human resources. Keeps the process guidelines up-to-date

  • Orders and maintains all office supplies and client disclosure materials

  • Manages the office calendar and follows best practices for maximizing productivity

  • Assists with the preparation and mailing of client newsletters, and all cards as well as other periodic client communications

  • Utilizes Constant contact and mail merge systems to communicate with clients and prospective clients on a regular basis

  • Maintains the firm's website and all client facing materials

  • Leads the coordination of client events – secure venue, help create invitation and send out, manage RSVP’s, make follow-up calls before the event, and work out details regarding food, cost, and room setup

  • Assists the firm with all social media marketing

  • Effectively composes business correspondence and emails with speed and accuracy and in keeping with the highest business standards

  • Personal integrity and ability to discreetly handle confidential data

  • Demonstrated knowledge of the financial industry and a passion to learn

  • Considers themselves a learner/ student and willing to invest in professional growth

  • Demonstrated excellence with computer literacy skills and knowledge of specialized office programs including proficiency within Microsoft Office products, specifically Excel, Word and Outlook as well as power point and all social media

  • Knowledgeable of the Crystal Coast area

  • Proven event planning skills

  • Loyal and committed to a mission and purpose

  • Demonstrated marketing skills to include digital and print media

Education and Experience:

  • Bachelor's degree in Management, Business, Finance or equivalent is preferred.

  • Minimum of three (3) years prior experience in a support role in administrative, client service role or financial planning experience within a bank, investment or accounting company is strongly preferred
