Job Description

Position Purpose:

To oversee and continuously improve the data compliance and integrity for training programs which fall under the pervue of the ABC Eastern Pennsylvania Chapter’s Apprenticeship Trust. Specific focus on student enrollment record keeping.

 

Essential duties and responsibilities:

 

Enrollment Records:

· Main point of contact to maintain all student records and assure compliance with all Department of Labor requirements, etc.

· Process all new and returning student information into CHAD and RAPIDS.

· Maintain continuous communication with students and companies to assure student records are accurate.

· When applicable, communicate the needs of our students to V.P. of Apprenticeship Operations.

· Participate in the student onboarding process for new and returning students, and assist with class start orientation, recommending improvements as necessary.

· Maintain textbook inventory, coordinate textbook purchasing and distribution, and maintain education materials inventory.

· Meet with member companies to assure there is a clear understanding of apprenticeship recordkeeping requirements, as needed.

· Work with the Chapter Team to plan and execute applicable Craft Training events (examples: Yearly Apprenticeship Graduation, Area Student Tours, Prospective Student information sessions, etc.)

· Assist with interviews for support staff when applicable.

· Coordinate with Marketing and Communications to provide stories for social media, website updates, press releases, etc. for the ABC National Craft Championships.

· Other duties as needed.

 

Accounting:

· Working knowledge of QuickBooks

· Tuition AR - Invoicing & Payment Posting

· Trust AP

· Compare Chad Student List/Master List/Billed Students in Quick Books

· Assist in Bank Reconciliations

· Assist in relationship development with various agencies funding specific student’s tuition – MontcoWorks, CareerLink, Veterans Office, ABC Eastern Construction Alliance, and others as needed.

 

 

Leadership skills: Supervisory and leadership skills to oversee (staff, volunteers, committee members) in a productive, efficient manner to complete specific projects. Understanding of the field tasks required by students in multiple trades (electrical, carpentry, plumbing, etc.). Personal experience or expertise in one (1) given trade is a plus.

 

Communication Skills: Ability to read and interpret business documents, guidelines, manuals, etc. Ability to write clear and concise letters, memos and other communications and business documents.

 

Customer Support Skills: The ability to present information to, and respond to questions from school administration, instructors, students, ABC employers and the public. Interact with a high level of professionalism via phone, email, on-line, and in-person, communication.

 

Financial Skills: The ability to accurately forecast operational costs and manage department operations within given budgetary restraints.

 

Reasoning ability: Ability to define problems, collect data, and draw valid solutions.

 

Technical Skills: Computer skills including Microsoft Office product (Word, PowerPoint, Excel Access) at a minimum. Ability to use or willingness to learn all technology platforms and programs necessary to carry out the job functions.
