Work closely with Reservations Coordinator and Sales & Events department to ensure smooth booking and operation of groups. Service Standards Eye contact should be made at a distance of no less than 10 feet from every guest. A genuine smile should be offered at a distance of no less than 5 feet from every guest.

Employees should build rapport with guests during any conversation, if the guest responds to the initial statement with a conversational demeanor. Guest last name is used effectively, but discreetly, as a signal of recognition as least once and not more than twice during any conversation with guests. Before concluding conversations, the guest is verbally offered additional assistance with a statement relevant to the guest's individual needs.

Essential Functions of the Job Sales & Events Coordinator Ensure efficient and timely production of sales correspondence including proposals, general information requests. Act as initial contact for incoming sales leads/calls and build accounts into (Delphi) prior to sending to Managers for follow up. Provide coverage & communication support to clientele for co-workers as needed when traveling or out of the office.

Facilitate & coordinate key familiarization tours and Group Leader Amenities with direction for Managers to continually create awareness and new business. Promote up-sell and cross-sell opportunities among Mountain Division and Hospitality Division products. Build Resumes: Work with group leaders/Managers to build resumes detailing group arrivals, VIP information, catering needs, billing, housekeeping, rooming list, etc.

Prior to arrival confirm VIPs, special requests and amenity deliveries, finalize group transportation requests and airport manifests, and confirm all charges to Master Accounts vs. Individually paid rooms. Attend Group Resume Meetings with front desk and operations teams prior to the group arrival to ensure group expectations are met.

Support group and catering team during key events like Food and Wine and Aspen Ideas Festival. Participate in company functions as required (i.e. employee luncheons, FAM tours, etc.) Provide support, information and direction to meeting planners during the contractual, pre-conference and conference/group experience.

Assist Special Events Manager (as needed) with any requirements of the group while in house. Work with internal ASC departments to book meetings and special events at the hotel. Ability to work independently, exercise initiative and to identify and solve problems and to resolve unexpected issues and to follow up to completion. Must be a good team player and be able to deal courteously and effectively with all levels of staff and management and external agency partners. Report to shift on time.

Treat others as you would expect to be treated. Be courteous to guests and co-workers. Comply with all policies and procedures for the Front Office Department, Limelight Hotel, and Aspen Skiing Company.

Be familiar with hotel fire and safety procedures. Assist in the event of an emergency and/or security event as directed by management. Complete tasks and projects delegated by your manager and assist other departments as business volumes and staff levels demand.

Working Conditions and Physical Requirements Able to stand high levels of stress. Indoors v Outdoors - Indoors 95% of the time, Outdoors 5% of the time. Standing v Sitting - Sitting 80% of the time Work Environment -.

Working as part of a team; working AM, PM & overnight shifts. Working holidays. Overtime may be required due to business need.

Physical Requirements - Ability to push/pull & carry luggage and other items up to 50lbs. Constant reaching, handling, feeling, talking, hearing and seeing (near, far, depth perception, color vision, and field of vision). Occasional climbing, balancing, stooping, kneeling, crouching, tasting, smelling.

Dealing with noise of lobby area as well as phones. Education, License/Certifications & Skills High school diploma required. Previous front desk or sales experience helpful.

Ability to multi task and prioritize. Language Skills Excellent written and spoken English. Experience Prior guest service experience is required.
