As the Receptionist/Human Resources Admin., you are responsible for the professional and efficient management of the front desk/reception area and administrative support for the Human Resources department. Specifically, you will be accountable for managing visitors, customers, vendors, telephone calls, and messages, as well as various clerical duties that support Human Resources, administrative, and front office services.

ESSENTIAL JOB FUNCTIONS:
Administrative/Reception Job Duties
Answers, screens, and directs all incoming phone calls to the appropriate person(s); promptly, accurately, professionally, and courteously receives all telephone calls and visitors
Provides information to internal/external customers
Deals with queries from the public and internal/external customers
Maintains an organized and tidy appearance of the reception area
Ensures kitchen/kitchen appliances and bathrooms are kept neat, clean, and stocked with appropriate supplies
Ensures the common areas are equipped with office supplies as needed
Reviews orders with supervisor/manager before placing orders with vendors
Administers the management of all meeting room calendars
Assists with organizing meetings
Greets all visitors, clients, and team members for anyone that enters the premises and ensures that all building entry processes are adhered to
Handles the incoming deliveries and sorting of incoming mail
Delivers mail and packages to various offices and prepares FedEx packages
Handles outgoing mail and ensures that postage is correct, including preparing and postage for Certified mail plus return receipts
Human Resources Job Duties
(Administrative HR tasks)
Maintains confidentiality of organization fiscal and personnel-related information
Provides general administrative and clerical support such as: making copies, assist in ordering office supplies, filing, assisting with team member events, and new hire employee desk setup
Creates flyers for business closings, memos, and holidays
Keeps current with Team Members movements in and out of the organization
Regularly updates the Team member contact lists when there is a personal change such as new hires, promotions, or separations.
Creates and updates office name plates
Set up desk for new hires
Other duties assigned by management
QUALIFICATIONS:
EDUCATION:
High School Diploma or GED. 1-2 years of college preferred.
REQUIRED EXPERIENCE:
- Minimum 1-2 years of receptionist or admin-related experience with handling and directing multi-lined telephone systems, office machines, mailing and postage machines, and office equipment.
KNOWLEDGE, SKILLS & ABILITIES:
Strong written and oral communication skills
Strong attention to detail
Excellent customer service skills
Ability to multi-task and manage priorities
Ability to work independently, either individually or within a team structure, with minimal direction
Strong organizational and analytical skills and good follow-through required
Excellent computer skills, including Microsoft Office
Demonstrated organization skills and attention to detail. Intermediate knowledge of Excel and Microsoft Word.
PHYSICAL REQUIREMENTS:
Assigned duties are accomplished primarily in an office/production setting. Must be able to maneuver around an office/production setting, work at a desk/workstation and respond to written and oral cues
Must have the manual dexterity to operate a computer and other necessary office/production equipment
Must be able to sit for extended periods of time
May be required to bend, reach and lift up to 25 lbs.
