Event Coordinator Intern

Event Coordinator Intern:
We are currently looking for an experienced Event Coordinator Intern to manage our events; beginning to end. The selected individual will oversee all aspects of our event planning and management. After discussing the scope and budget, you will be expected to organize all the details, including seeking sponsors, booking the venues, planning food service, entertainment, decorations, transportation, as well as staffing for the day of the event. You are expected to attend all events and supervise during the event to ensure it runs smoothly and to ensure vendor invoices get taken care of once the event is over. The ideal candidate has at least one year of event planning experience. A long history of coordinating successful events (paid or not) is preferred but not necessary but must have the passion and desire for the role.

Duties and Responsibilities -
Discuss budget and event expectations with team.
Research venues, vendors and sponsors that fit the occasion; within budget.
Discuss contract terms with vendors where necessary .
Schedule staff and set up/clean up crews for the day of the event.
Oversee each phase of the event to ensure it runs smoothly.
Make sure all vendors invoices are paid promptly.
Intern to start with possibility of advancement to new hire.

Requirements and Qualifications -
Bachelor’s degree in marketing, hospitality, or a related field preferred but not necessary .
1 year event planning experience.
Substantial portfolio of successful events is preferred but not necessary.
Excellent communication, listening, and organizational skills; great ability to listen to then follow instructions.
Flexible schedule.
Part-time to start.
Work from home or at our offices.
Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant or similar role is preferred (but not required if you have the desire and passion to work at and grow with a new magazine).
Knowledge of office procedures.
Solid experience with office management systems, ERPs and MS Office.
Familiarity with online calendars and cloud systems.
Experience using office equipment, including printers and fax machines.
Strong communication skills (via phone, email and in-person).
Experience exercising discretion and confidentiality with sensitive company information.
Excellent organizational skills with an ability to think proactively and prioritize work.
High school degree; additional qualifications as Personal Assistant or Secretary are a plus.
Six and twelve month reviews with potential offer to hire.
Organized and strong attention to details.

Must be local to the Arlington area.
