Job Description

JOB SUMMARY

Helps facilitate the hiring process. Provides direct administrative support to the Human Resources department. Assists the Human Resources staff in daily operations to include customer service to all APS employees, guests and applicants, clerical/secretarial duties and phone support.

This position has no direct reports

 

ESSENTIAL FUNCTIONS

HRIS & HR Operations Admin/Clerical

  • Enters new hires and initiates onboarding workflow
  • Initiates background checks and escalated issues to generalist
  • Maintains I-9 Binder
  • Assists generalist and team with various research and special projects

 

Recruiting & Hiring

  • Assist with recruiting and hiring efforts
  • Posts open positions on company careers page, external job boards and the company intranet, and manages postings
  • Communicate all relevant information to employees and job applicants
  • Screens resumes for all open positions for minimum job requirements
  • Conducts phone screen interview and forwards qualified screened candidates to hiring manager
  • Coordinates interview schedules for hiring managers
  • Maintains recruiting files
  • Maintains recruiting log
  • Prepares offer letters
  • Send offer email

Employee On boarding

  • Deploys New Hire email through Paychex
  • Facilitates first day orientation to all new hires to include
    • Processes new hire paperwork
    • Verifies I-9 documentation and initiates eVerify
    • Conducting HR team presentation
    • Administering requires training, e.g., HIPAA, Bloodborne Pathogens

Organizational Exit

  • Upon employment termination, deploys exit survey
  • Ensures receipt of completed Termination checklist

Unemployment Insurance

  • Responds to claims

Legal Compliance

  • Ensures compliance with federal, state, and local employment legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions.

REQUIREMENTS

Education & Experience, Knowledge/Understanding

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience
  • Minimum three years’ experience in an administrative role
  • Knowledge of human resources
  • Knowledge of clerical and administrative procedures

 

Skills

  • Excellent verbal, written, and listening communication skills to include communicating clearly, effectively, tactfully, and patiently in-person and on the phone to a diverse population
  • Effective organization and time management skills with the ability to manage multiple projects simultaneously and work in high-pressure situations
  • Proficient in the use of a PC; in a Windows environment; in the use of the Internet; and in the use of MS Office Applications such as Outlook, Word and Excel, PowerPoint, Visio.
  • Proficient in the use of HRIS systems
