ANIMAL PLACEMENT PROGRAMS COORDINATOR

POSITION SUMMARY: In conjunction with the other Animal Placement Programs Coordinator, Assist Placement Programs Manager in overseeing the day-to-day operations of the Placement Programs Department. This includes the Rescue Partners Program, Working Cat Program, Project Reachout Program, Community Cat Program and the daily operations of the Transport Team. Build and maintain positive relations with rescue partners, reachout source partners, customers and internal teams by providing exemplary customer service, timely responses and resources. Ensure department operations run smoothly. Carry out duties and responsibilities as a member of the department's leadership team, including assisting Manager in interviewing, hiring, training, coaching and scheduling all Placement Program employees and volunteers, as well as maintaining employee documentation and ensuring that employees are meeting position expectations. Assist Manager in the development and execution of special projects and incentives to further Placement Programs. Work with Manager to resolve complaints and address issues.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Oversee/Execute/Assist in the daily duties and responsibilities of the Rescue Partner Program, including sending out the daily email to rescue partners, adding animals to the online portal, responding to all partner inquiries and performing rescue releases to partners. In conjunction with the other Animal Placement Programs Coordinator, act as point of contact for all rescue partners, including minor escalations. Escalate any concerns or issues to Manager as appropriate.
  3. Oversee/Execute/Assist in the daily duties and responsibilities of the Working Cat Program, including reviewing working cat applications, reviewing working cat candidates, passing candidates to surgery, managing excel spreadsheet of clients/client data and performing working cat releases and deliveries to clients. In conjunction with the other Animal Placement Programs Coordinator, act as point of contact for all rescue partners, including minor escalations. Escalate any concerns or issues to Manager as appropriate.
  4. Oversee/Execute/Assist in the daily duties and responsibilities of the Project Reachout Program, including travelling to shelters in need, transporting animals from shelters in need, performing medical evaluations of animals (TPR, vaccinations, microchipping), maintaining data in shelter software system, responding to all partner inquiries. In conjunction with the other Animal Placement Programs Coordinator, act as point of contact for all Project Reachout Partners, including minor escalations. Escalate any concerns or issues to Manager as appropriate.
  5. Oversee/Execute/Assist in the daily duties and responsibilities of the Transport Team, including coordinating internal transport of animals between AHS locations, building transport lists to AHS locations. In conjunction with the other Animal Placement Programs Coordinator, ensure Transport Vehicle Fleet is maintained and up to date on maintenance, including scheduling regular maintenance and making sure vehicles are regularly disinfected and kept sanitary.
  6. Oversee/Execute/Assist in the daily duties and responsibilities of the Community Cat Program, including reviewing community cat candidates, passing candidates to surgery, providing contact with general public/community cat caregivers. In conjunction with the other Animal Placement Programs Coordinator, act as point of contact for all Community Cat Program, including minor escalations. Escalate any concerns or issues to Manager as appropriate.
  7. Foster and maintain excellent relationships with Rescue Partners and Project Reachout Partners in the local community and nationwide. In addition, maintain courteous, friendly interpersonal relationships with employees and volunteers within other departments.
  8. Work with Manager and Director to develop programs and offerings that will be beneficial in recruiting and retaining Rescue and Project Reachout Partners.
  9. In conjunction with the other Animal Placement Programs Coordinator, act as primary trainer for all new department staff and volunteers. Ensure all staff members are familiarized with and proficient in Transport, and cross-trained in Rescue, Working Cat, Community Cats, and Project Reachout standard operating procedures and best practices.
  10. In conjunction with the other Animal Placement Programs Coordinator, create all Placement Program Department work schedules.
  11. Coordinate with Marketing and other departments to further increase awareness in the community of the different placement programs.
  12. Other duties and special projects as assigned.

QUALIFICATIONS:


  1. High school diploma OR GED
  2. Valid Arizona driver's license
  3. Must be 21 years of age
  4. Previous experience in coordination or supervision of a team a plus.
  5. Previous experience in veterinary field a plus. Ability to perform health checks, TPR exams and vaccinations preferred.
  6. Minimum of two years' experience in providing exemplary customer service. Experience in working with difficult or combative customers a plus.
  7. Must be able to operate in a fast paced and at times stressful environment.
  8. Must be able to handle animals in all conditions and be able to train co-workers and volunteers in job duties and safe animal handling.
  9. Excellent interpersonal, conflict resolution and customer service skills required.
  10. Must demonstrate excellent oral, written and public speaking skills.

Language Skills: Able to speak, read and write English; Spanish language helpful.

Mathematical Skills: Familiarity with cash handling operations is required.

Computer Skills: Proficiency with Microsoft Word, PowerPoint, Excel, Outlook and Explorer; able to learn other software programs as necessary. Proficiency with or able to learn/use Chameleon software and CRM software. Proficiency with multiple social media platforms, i.e. Facebook, Twitter, Instagram.

Certificates, Licenses, Registrations: Valid AZ Driver's License and insurance.

Other Skills, Abilities and Qualifications: Regular attendance. Access to reliable transportation. Must be able to hear above the sound of the animals and be able to speak clearly and communicate well with employees and the public.

Physical Demands: While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands to finger, handle, or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 50 pounds. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment: There will be exposure to dust, heat, cold and temperature changes; occasional wet floors, and animal noises, odors and dander. Most time will be spent in a typical air conditioned and heated office environment. Tentative schedule is a Wednesday-Sunday work week.
