Job Description

ArchitectNow has scaled over the last few years to the point we get to bring on more support staff to deliver the best outcomes possible for our clients. We are seeking someone who is a collaborative planner to manage calendars & inboxes, facilitate prioritizing meetings and deliverables, all to support preparations for our executive team on a day & week basis. We have many irons in the fire at a given time, you’ll support us to keep them hot and moving forward.

Day to day, you will attend meetings, take notes, facilitate follow up and deliverables. These could be internal or external efforts like contributing to strategic marketing projects, respond to support emails and queue work to be done, or contribute to writing sales content. Other tasks will arise as you create fluidity with normal day to day.

Responsibilities:

  • Communicates on behalf of the executive team and the brand, which may include composing written correspondence and/or live interactions
  • Facilitator of the executive team’s calendar(s): schedules meetings, conferences, teleconferences and travel. Prioritizes appropriately and ensures the schedule is respected and followed.
  • Attend internal and customer facing meetings, taking meeting notes, coordinate follow-ups and deliverables
  • A variety of other duties which may require situation analysis, prioritization, appropriate escalation and problem-solving skills.
  • Support executive team members in the successful development and implementation of initiatives that support the organization’s strategic goals and revenue objectives.
  • Oversee projects relating to events, conferences and company operations.
  • Other special projects and duties as assigned.

Qualifications:

  • A minimum of five (5) years of experience in an administrative assistant role to a C-level executive or experience with project management.
  • A minimum of a high school diploma; an Associate or Bachelor’s Degree is preferred.
  • Advanced proficiency in the following Microsoft Office 365 programs: Outlook, Word, Excel and PowerPoint, SharePoint, Teams.
  • Excellent professional oral and written communication skills.
  • Superior customer-service skills, intellectual curiosity and strong business acumen.
  • Excellent planning and organizational skills with a high degree of attention to detail.
  • Be able to sit/stand for long periods of time and lift up to 30 pounds.

  • Has experience accessing executives’ inboxes and calendars with respect and care
  • Has experience running social media accounts and sending email campaigns
  • Has experience planning and facilitating week’s agendas for multiple people
