Job Description

Title: Service Coordinator

Location: Raleigh, NC

Service Coordinators are responsible to the Service Manager, or to the person designated by the Service Manager, for the assigned functions being performed in accordance with the policies and procedures of the company.


General Summary

Work will consist of scheduling work for the Service Manager, assist in achieving the division’s aims and goals while operating within the guidelines of the company and to perform the responsibilities set forth, but not limited to:



Must be able to work within precise limits or standards of accuracy, perform a variety of duties which may change often.  Must use reason and logic.


  1. Answer phone calls for service requests and answer questions.
  2. Monitor service email account and respond as needed.
  3. Responsible for site work orders as follows:
    1. Create all site work order tickets and small jobs related to site work.
    2. Schedule site tickets using GPS, if needed.
    3. Dispatch service requests to service technicians.
    4. Site work order purchase orders, including issuing PO, entering packing slips, clearing invoices, and entering invoices into Spectrum.
    5. Process all site work order paperwork, including, but not limited to, web portals, 3rd party paperwork, closing site tickets, monitoring status of site work orders, and pre-time entry.
    6. Handle all site work order billing.
    7. Maintain paperless workflow using company-approved cloud storage.
    8. Run work order reports in Spectrum as needed.
  4. Maintain communication with customers, including status updates and customer care.
  5. Obtain permits for service work orders and small jobs.
  6. Call in and/or follow up on inspections.
  7. Responsible for service technicians’ timesheets and payroll entry on Monday mornings.

Position Requirements

Licenses          Current driver’s license if required by job conditions; applicable federal, state and local licenses as required by job conditions or by the company.


Certifications    Applicable federal, state and local certifications as required by job conditions or by the company.


Education        High School Graduate, holder of G.E.D., or equivalent training.


Working Conditions

  1. Majority of work performed in division office.
  2. Wear personal protective equipment as required in Safety Handbook if site visit required.
  3. Able to work 40 hours per week, overtime as required; work out of town if needed.

  16. Read and interpret maps, instructional manuals, , work site directions, and written instructions.
  17. Supervise assigned personnel to complete tasks.


Physical Function

  1. Hear and see well (either naturally or with correction).
  2. Repetitive use of arms, hands and fingers.
