Job Summary:

The Ziegler School of Rabbinic Studies is looking for a dynamic Administrative Assistant to support two full-time and one part-time staff members under direction of the Dean and Associate Dean. This is a fast-paced office within the larger university. The Administrative Assistant must be detail oriented and work collaboratively with an additional Administrative Assistant handling scheduling, data entry, event planning, phone and desk communication, and work with other university departments to insure implementation of the overall mission.

Job Responsibilities:

Primary functions and responsibilities for this position include, but not limited to:

  • Serving as front office support for a busy office answering phones, welcoming guests, scheduling, monitoring inventory/ordering office supplies and acting as liaison with other departments when necessary.
  • Composing singular and mail merge correspondence, preparing presentations, copying, making appointments, travel arrangements and maintaining filing.
  • Responding to the needs of students (50 full time) and faculty (10 full time/10 part time), including items such as photocopying, responding to inquiries and requests, managing class rosters, and maintaining contact information
  • Assisting with meeting and event preparation (i.e. community wide ordination, school lunch and learns, study days, outside speakers, orientations, holiday events) including invitation lists and mailings, food ordering, room reservations, invitations, correspondence, RSVPs, supplies, and with facilities and food services.
  • Preparing and/or processing payment invoices and data entry for budget monitoring and reconciliation
  • Special projects as assigned by Dean and/or Associate Dean
  • Maintaining calendars for the deans and school as a whole.
  • Managing email lists, distribution, and list updates

Job Functions may shift as deans and staff determine individual strengths, skills and abilities.

Job Requirements:

  • 3-5 years of administrative support experience.
  • Strong attention to detail
  • Exemplary interpersonal, verbal and written communication skills.
  • Flexibility and Cooperative Spirit
  • Extensive knowledge of Microsoft Office (Word, Excel, Power Point, etc.), accounting and database software

Preferred Qualifications

  • Associate Degree or higher
  • Knowledge of non-profit and/or academic institutions
  • Familiarity with Jewish community/religious vocabulary
