Administrative Coordinator Job Description

The Position

We are looking to expand our team by hiring an Administrative Coordinator. The role will be based in the River Wealth Advisors Camp Hill, PA office. Hours are 8:30am to 5:00pm with an hour lunch. The position will be salaried, with quarterly bonuses based on the firm's performance. Salary is negotiable based on experience and expertise.

Job Description
  • Answer multiple phone lines and direct the caller to the appropriate team member or take a message; document client contact and communicate messages to staff and advisors at the time of the client call, as well as in our client relationship management system
  • Schedule meetings for the firm's Camp Hill advisors and follow up with confirmation calls/emails to clients
  • Greet all guests with concierge-level service
  • Compile meeting packets, to include marketing materials for prospects and complete review packets for client meetings; for zoom meetings, post report and client information sheet to the client's secure portal
  • Manage updating all new client information in Redtail for new clients from contracts
  • Maintain client database
    • Run quarterly audits for missing information
  • Sort and distribute mail, including making check deposits
  • Conduct electronic filing
  • Organize the proxy process in conjunction with the Chief Compliance Officer
  • Help with the mailing of quarterly statements, as well as provide ad-hoc monthly and quarterly reports
  • Responsible for coordinating the personal client touches for life events; e.g. birthdays, sympathy, get well cards and ordering client gifts, once approved by Chief Client Officer
  • Maintain order of all items in office common spaces and kitchen
  • Place office grocery and supply orders
  • Serve as back-up on projects as assigned
