Allegiance Group is looking for a Project Manager to manage direct mail production and some digital projects for fundraising clients. 

We are a growing direct response fundraising agency seeking a solution-oriented, hands-on direct mail and digital production professional to manage all production for an existing portfolio of non-profit clients. 3-5 years’ experience of direct mail production required, including print production and/or mail house experience, although some agency production experience is preferred. Digital experience is a plus. Strong written, verbal, and interpersonal skills a must. Should be a well-organized self-starter with an attention to detail and exceptional project and time management skills.

The Project Manager, for the Agency Fundraising unit, is responsible for executing direct mail and email appeals for clients by planning, coordinating, directing and managing all aspects of each project.


Key Responsibilities
  • Participate and assist the Account Managers with the development of integrated strategies for fundraising clients.
  • Provide ongoing support for each client’s program and goals as identified by each client and Account Manager.
  • Actively participate and/or lead all initial and ongoing meetings with clients.
  • Generate, implement and manage project schedules to meet our customer and vendor deadlines.
  • Provide timely and detailed communications to the appropriate team to meet client expectations accordingly.
  • Manage all programs for a wide range of account sizes, with varying levels of complexity with minimal supervision.
  • Responsible for the creation and management of multiple types of mail and email appeals.
    • Execute all strategic plans as directed by Account Managers. Communicate all production elements to design team. Review and present completed concepts to Account Managers, as well as facilitate any updates, changes, and approvals. Operate within approved budgets to complete each project on time. And identify potential challenges and issues early in the process.
    • Intermediate understanding of print processes and data processing to accurately communicate production requirements and specifications to the print and mail service providers. Collaborate with vendors from initial quoting through final print and production approvals.
    • Manage and communicate with vendors all program specifications, including data processing instructions, scheduling and provide day-to-day direction on expectations for each project.
    • Keeping a line of open communication with Account Managers throughout the duration of all projects, including scheduling changes, production challenges, solutions and resetting of expectations.
    • Implement strict quality control for all aspects of each program including final print material, data processing, live data proofs and finishing are executed as dictated by the strategy and within USPS regulations.
    • Manage finished product from production through entering the mail stream, including drop dates and postal confirmation the mail was received by the USPS.
    • Effectively manage budgets for all projects. Review and approve vendor invoices. Submit final invoices to accounting at completion of all projects for final billing.
    • Maintain accurate inventory level and postage tracking documents for each client/program.
  • Troubleshoot any issues and provide appropriate solutions with minimal supervision.
  • Support corporate and departmental initiatives with the intent of improving our business practices.


Skills Knowledge and Expertise
The ideal candidate will have:
  • 3-5 years hands-on experience in mail shop or agency setting.
  • Some experience managing projects and accounts, to include budget and timeline management. Attention to detail, ability to keep yourself on track and customer service focus are required when collaborating with internal teams and clients.
  • Ability to juggle, prioritize and balance competing goals, projects and personalities.  
  • Knowledge in print processing, data processing, mail shop and postal requirements.
  • Solid communication skills are a must, including written and verbal communications with clients, vendors and internal teams.
  • Must be able to work individually as well as collaboratively, be a team player who enjoys being part of a larger team.
  • Strong interpersonal and professional skills and ability to communicate with philanthropic client base as well as peers.
  • Fluency with Microsoft Word and Excel.
Other desired skills:
  • Experience with non-profit fundraising 
  • Experience with digital/email production
