PROJECT MANAGER/ EXECUTIVE ASSISTANT

Aleksandra Nova Design is a luxury interior design firm based in Chicago. I am seeking to hire an executive assistant to join my small but highly in demand company and assist me in executing high end design projects.

OVERVIEW

• The ideal candidate will be extremely detail oriented, enthusiastic, active self-starter, has basic knowledge on bookkeeping, positive attitude, and is looking to be with company for long term.

RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

• Assist in general project management: scheduling meetings, furniture orders, installations, deliveries, etc
   
• Procurement - Place and manage orders of furniture, fixture and equipment. Make sure items are shipped/received in time and work to replace any items that arrive damaged

• Develop and maintain strong relationships and communications with clients and vendors

• Request quotes, pricing and samples from vendors.
   
• Create and manage materials lists and order schedules

• Create proposals, invoices, purchase orders. Pay bills

• Assist in preparing client presentations for meetings

• Facilitate workroom communications and visits (upholsterer, showrooms, etc.)

• Coordinate with project partners including Architects, General Contractors, Craftsmen, etc. on client site visits

• Manage emails, calls and appointments
   
• Manage office supplies

REQUIRENMENTS

• Proficiency in outlook, excel, microsoft, powerpoint, quickbooks

• Minimum of 5 years of experience in project management/ office assistance

• Ability to multi-task and thrive in a flexible and often-changing work environment

• Excellent communication and organizational skills

• Strong attention to detail and self-starter
   
• Ability to work without micromanagement
   
• Has drivers license and lives in Illinois
