Aktiv Pharma Group is hiring for an Executive Assistant position. We are a fast-growing company focused on addressing unmet medical needs through a proprietary drug delivery system. The ideal candidate is someone who can understand the big picture to support the CEO’s vision, goals, agenda and priorities, while also being organized and detail-oriented in their task execution. This position requires accomplished verbal and written communication skills, as well as the ability to gather and interpret information with quick turnaround.

General Purpose

The Executive Assistant is responsible for providing multi-level, comprehensive support to the Chief Executive Officer (CEO) of a 60+ person pharma start-up company. The CEO is very hands-on and handles a myriad of projects and activities. Tasks will vary widely, from administrative support to leading special projects, from personal errands to mission-critical information gathering. Through regular communication and proactive decision-making, the position is expected to understand the CEO’s schedule and priorities, and support him in maximizing his time and focus. The position must be committed to completing a wide variety of tasks independently. Training will be provided on technical tasks as needed, so this position should have a willingness to learn and strong attention to detail. The individual will be included in the CEO’s meetings and other communications and will be expected to interpret the information to proactively assist with execution of the CEO’s agenda, including scheduling and prioritization.

  • Maintain continuous alignment with the CEO’s aspirations, priorities, agenda, and messaging, and be able to represent the CEO internally and outside of the organization
  • Interpret situations and information and help translate these into actions and decisions
  • Recommend and initiate changes to company and CEO processes and procedures to improve efficiency and effectiveness
  • Review communications and information (e.g., emails, brochures, instructions, requests, etc.) on behalf of the CEO
  • Manage the execution of special projects and initiatives on behalf of the CEO
  • Support the CEO’s prioritized mission to enhance diversity, equity, and inclusion
  • Gather information to support projects and decisions
  • Monitor, organize, and prioritize incoming communications
  • Proof and prepare correspondence, presentation templates, memos, invoices, reports, and other documents
  • Manage CEO’s calendar and travel
  • Manage and report CEO’s billing and expenses
  • Attend meetings with or on behalf of the CEO, take notes, record minutes, and create and distribute action items
  • Help coordinate meeting agendas and facilitate participants’ preparation
  • Train and supervise clerical staff as requested
  • Coordinate events such as luncheons, catering, team events, guest hospitality, and open houses
  • Assist the CEO by performing personal errands
  • Perform other duties as necessary to ensure the success of the organization

Job Qualifications

  • Self-confidence to work with a CEO in partnership

Education or Formal Training:

  • Bachelor’s Degree is required

Experience:

  • More than 10 years of experience supporting an executive leader, or similar experience, is required
  • An equivalent combination of education and experience may be substituted for this requirement
