Administrative Assistant performs clerical and administrative tasks with a high degree of accuracy.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned
Participates in monthly/quarterly team safety meetings and assists with terminal safety and compliance inspections.
Distributes promotional literature and presentations as requested.
Answers customer service phone calls and directs to appropriate personnel if needed.
Compile and Process trip data in OIR. Files all trips according to QMS guidelines.
Process Driver and Terminal expenses.
Organizes meetings (off-site and in-office) including distributing meeting agenda and minutes.
Assists in preparing presentations, proposals and supporting documentation.
Processes confidential personnel paperwork for terminal management.
Arranges travel for team members when requested.
Travels to support training initiatives as required.
Assists terminal management with facility Emergency Action Plan (EAP).
Maintains and orders office supplies.
Directs and screens calls and visitors.
Receives and distributes mail.
Supports team with computer and phone issues.
Acts as Google Kite Champion (2017).
Acts as Google Community Platform Owner and Moderator (2017).
Acts as SharePoint Champion, updating and maintaining databases and workflows.
Performs required order entry, receiving reconciliation or other required tasks in OIR or other software platforms.

EDUCATION AND/OR EXPERIENCE:
High school diploma or general education degree (GED).
Intermediate knowledge of Microsoft SharePoint.
Intermediate knowledge of Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)
Intermediate knowledge of Google G-Suite applications (2017).
COMMUNICATION AND/OR CRITICAL THINKING SKILLS:
Strong communication skills, both written and verbal
Excellent customer service skills
