Job Description

We are seeking a self-motivated, experienced (5+ years), full-time transactional paralegal/legal assistant to provide advanced paralegal, secretarial and administrative support , with priority attention given to the attorneys in the Public Finance and Real Estate practice groups. Public Finance/Real Estate Practice Group Duties and Responsibilities:

o Formatting, editing, converting, blacklining/redlining all forms of documents and correspondence.

o Performing secretarial and administrative duties for two or more attorneys.

o Taking notes on working group calls.

o Keeping track of transaction schedules, updating attorney calendars and tasks to complete.

 

General Secretarial and Administrative Duties and Responsibilities:

o Opening new files, file set-up, creating pleadings bibles and file maintenance.

o Preparing correspondence, memos and reports, answering phones.

o Coordinating and scheduling travel, meetings and appointments.

o Preparing for the reproduction and distribution of correspondence and legal documents.

 

Minimum Required Skills and Abilities:

o Extraordinary organizational and project management skills. 

o Comfort with and advanced mastery of document formatting, including creating and updating automated tables of content, document comparison software, styles and headers/footers.

o Mastery of Adobe Acrobat (including all editing tools) and Microsoft Office Suite - Outlook, Word, Excel, etc.

o Ability to proofread both simple and complex documents.

o Ability to pay close attention to detail and manage multiple tasks/projects with accuracy and efficiency.

o Ability to use sound judgment to prioritize workloads to effectively meet all deadlines.

o Experience with Mac computers/Apple software preferred. Prior experience working with attorneys practicing transaction law (public finance, real estate, corporate, mergers and acquisitions, etc.) is a plus.

o Must have excellent verbal and written communication skills and a professional demeanor.
