Administration Assistant

Our client is looking for a talented individual to work as a Administration Assistant. This position is within the Contract Strategic Services (CSS) team in Menlo Park and reports to the Manager of CSS. The Administration Assistant is responsible for supporting the Contracts and technical staffs on a daily basis. Tasks may include entering and maintaining records in the contract management system, maintaining accurate records of contract deliverables and notifications to billing, entering and maintaining records in company's procurement system, processing invoices, processing contract closeout documents, manage process to track reporting of Subcontractor audit reports and perform administrative tasks such as compilation of binders, scanning documents into internal drive, working with archives, and tracking files. The successful candidate may also maintain contract and proposal files in accordance with company policies and procedures and guidance from the Contract Officers, as well as monitor project status reports to identify potential problem projects.

*Requirements

--High school graduate or equivalent. Bachelor’s degree is a plus.

--Data entry experience is required.

--Strong interpersonal and communication skills are required.

-- Experience with MS Office suite of products (Word, Outlook, Excel).

--Ability to multi-task in a fast-paced office environment is required.

--Must be able to effectively prioritize a steady and busy workload using sound judgment.

--Must be highly organized and detail oriented. Must also have a high level of enthusiasm and energy, and the ability to demonstrate flexibility and integrity in the workplace.

Work includes filing, set up project folders, coordination with other company departments and other duties as assigned.

Strong interpersonal and communication skills are required. Computer literacy is required; basic understanding of Microsoft Office products. Ability to multi-task.
