Job Description

What we are looking for

Are you interested in contributing to the successful operation of a growing business? AES is looking for an engaged and motivated Administrative Assistant to be a critical part of the operations of Advanced Equipment Sales. He/She/They will support the organization by assisting the Service Coordinator and other coworkers with various clerical and administrative tasks to help the organization run smoothly and efficiently all the while delivering excellent customer service with the utmost professionalism.

What the position will be doing

  • Answer and appropriately direct phone calls; serve as the AES phone system co-administrator
  • Attend and participate in Production meetings; take and distribute meeting minutes
  • Collect shop and field timesheets and service paperwork
  • Assist in accurate Salesforce and Sage database entry and maintenance
  • Compile various information and reports
  • Compose routine correspondence
  • Maintain and update files including office operations and procedures
  • Handle company sensitive information and documents
  • Make necessary travel arrangements to assist the Service Coordinator
  • Order and maintain office supplies
  • Assist shop personnel in tracking and ordering AES stock items
  • Manage UPS account shipments
  • Assist sales team in job folder creation
  • Performs other related duties as necessary; remains flexible and adaptable in work schedules and assignments as defined by departmental and organizational needs

Necessary Skills, Education & Abilities

  • Three (3) or more years of experience in an administrative capacity preferred
  • High School diploma, or equivalent, preferred; higher degree also preferred
  • Excellent phone demeanor and able to communicate with all levels within an organization and with clients, customers, and vendors
  • Able to use and comfortable with computers and proficient in Microsoft Office Suite, specifically Excel, Word, and Outlook.
  • Previous experience with Salesforce and Sage 100 Software a plus
  • Excellent analytical skills and able to provide solutions to complex problems.
  • Strong written and verbal communication skills
  • Able to be highly transparent, ethical, and driven. Relentless attention to detail, and able to be a creative self-starter and team player
  • Able to prioritize daily tasks and meet deadlines
  • Able to multitask effectively and work under pressure with constantly changing priorities
  • Able to work independently and analyze and resolve problems to meet company objectives
