Medical office is looking for a Medical Assistant to join our multi-specialty medical practice. Must be diligent, detail oriented, and is able to multitask.
Medical Assistant to perform a variety of duties including, but not limited to:
Specific Duties:
- Check in/out patients
- Collect information/payments from patients and be able to explain paperwork and policies to patients
- Utilize a script-based dialogue to assist patients or callers by providing information, answering questions, making appointments, and/or directing calls/inquiries as necessary
- Perform data entry into a computer system, program, or database
- Ensure all units are prepped, stocked, and cleaned before the beginning of each appointment
- Provide any other support as needed to teams, departments, managers, and other staff
Patient Management:
- Show care and concern for the patient at all times
- Greet patients and monitor arrival time
- Monitor patient flow
- Seat patients and have proper setup for procedures
- Try not to leave patient unattended in the room for longer than 5 minutes
- Anticipate and assist providers' needs at all times
- Perform clinical procedures as delegated by provider
- Give patient instruction and demonstrate when necessary
- Update patient's health history and patient information semiannually
Medical Assistant Daily Duties:
- Open exam rooms and unlock sample closet/cabinets
- Ensure that all counter tops are clean in the exam rooms
- Ensure brochures/consent forms are fully stocked in each exam room
- Ensure that all chairs and fixtures are clean and free of debris
- Turn on Light Box/Calibrate (Turn off at the end of the day)
- Turn on Excimer Laser (Turn off at the end of the day)
- Insert Laser Keys (Remove keys at the end of the day)
- Fill Liquid Nitrogen and make sure Liquid Nitrogen is ordered
- Disinfect rooms after each patient
- Sterilize instruments and hand pieces
- Fill exam room canisters with supplies
- Check bio-hazard containers
- Clean mirrors
- Close all rooms and lock sample closets/cabinets
- Fill gel bottles
- Complete notes
- Send prescriptions to pharmacies
- Complete all authorization requests (can be completed the next day)
- Process all biopsy specimens
- Daily Batches scanned
- Turn on/off AC/Heat
Weekly Duties:
- Check distilled water in Autoclave (clean the inside of the Autoclave on a monthly basis)
- Follow up on all existing requisition orders for pathology
- Ensure that all notes are current or up to date
- Change cold sterile when necessary
- Assist in weekly inventory
- Order supplies
- Prepare paperwork
Required Qualifications:
- High school diploma/GED
- Detail oriented and organized
- Able to handle 150+ calls a day
- Minimum 1 year medical office experience
- Strong customer service, communication, and problem-solving skills
- Proficiency with a diverse assortment of software programs, applications, and systems
Preferred Qualifications:
- Previous experience as a receptionist, call center agent, medical admin assistant, data entry clerk, or other similar roles
- Bilingual (Spanish or Farsi is a plus)
- Experience using multi-line phone system
- Previous Office Ally and NextGen experience is a plus
Part-Time:
Days: Mondays, Tuesdays, and Wednesday
Location: Westlake Village, CA
Full-Time:
Days: Mondays through Fridays
Location: Westlake Village, CA and Sherman Oaks, CA
