Position:                            Customer Support Specialist 

Reports To:                       Bid Department Supervisor

Payroll Status:                  Nonexempt

Position Summary:

Supports the Bid Specialists by performing order entry, special orders, and all facets of internal and external customer service. All employees are expected to adhere to Ace Mart business philosophy, guidelines and policies as laid out in the ACE MART MISSION STATEMENT, Employee Handbook, Standard Operating Procedures Manual and Safety Program. 

Essential Responsibilities:

  • Provides customer service to both internal and external customers. 
  • Assists Bid Specialists by performing order entry, including creating special orders, and other order related tasks such as tracking, inventory movement, and follow-ups for bids/quotes that the department is awarded. 
  • Provides customers a source of inventory knowledge.   Interacts with Buyers, reads company reports, and analyzes inventory information.
  • Maintains active computer systems knowledge.  Attends educational workshops and teleconferences and reviews technical publications. 
  • Prepares Special Orders. Works with Bid Specialists on gathering necessary information to properly and efficiently process special orders for smallwares and equipment.  
  • Understands the complexities of processing Bid orders which include opening packages, schools, government and state agencies, key accounts, strategic accounts, etc.
  • Understands the orders and processes of various Strategic Accounts in order to properly and effectively provide support and assistance to the Account Managers/Bid Specialists in charge of these customers.  
  • Ensures all email, faxes, phone messages, interoffice mail, etc. are monitored and responded to daily.
  • Complete administrative duties as assigned by Bid Department Manager or Director of Strategic Sales.
  • Complete special projects as assigned by Bid Department Manager or Director of Strategic Sales.
  • Maintains a strong knowledge of foodservice industry products.  Attends trade shows and sales meetings; reads industry publications.  
  • Seeks out Bid Tabulations from customers on quotes so that reports and analysis can be generated that can be used for future bids

Skills and Qualifications:

  • Working knowledge of Inventory Maintenance systems, AutoQuotes is a PLUS.
  • Experience using Microsoft Excel, Microsoft Word, and Adobe Acrobat. 
  • Possess strong communication skills, by being able to read, write and speak English. Bilingual in English and Spanish will be considered a plus.
  • Basic math skills including addition, subtraction, multiplication, and division of whole and fractional numbers.

 Education and Experience:

  • High school diploma or equivalent.
  • Equivalent skills of a Sales Associate--Level I (internal applicants only).

Physical Requirements/Conditions:

Physical Requirements:

  • Sit up to four hours at a time.
  • View monitor up to eight hours daily.
  • Use hands, fingers, and arms to operate computer terminal.
  • Operate computer and phone simultaneously.
  • Working Conditions:
    • Open & sometimes noisy office atmosphere.
