Job Summary:
This position will serve as the Office Coordinator and Receptionist for our small office in Hillsboro.  The responsibilities include: managing office operations, ordering office supplies/catering, meeting support, safety/security reporting, community support and event planning.  The ideal candidate is customer-service oriented, able to work independently and will serve as the primary "face" of Accenture. The key responsibilities are broken into 5 primary areas:
Office Operations:
  • Office receptionist to greet all visitors and serve as a primary contact for office related questions and requests
  • Manage office postings and signage
  • Manage employee badge access to office
  • Manage and track to monthly operations budget
  • Develop and manage contract relationships with external service providers
  • Provide support for workplace solutions tools/databases and related basic technical support and training
  • Provide and coordinate audio visual services
  • Coordinate office space maintenance
  • Coordinate break area equipment maintenance
  • Coordinate office equipment maintenance
  • Stock and maintain appearance of workplace
  • Order and maintain office and kitchen supplies
Space Management & Meeting Support:
  • Process space reservation requests and related rental charges as required
  • Manage the event management system (EMS)
  • Coordinate and maintain all meeting rooms, enclosed workspace and open workspace
  • Setup, maintain and/or provide support for meetings including catering and audio/visual equipment
  • Provide audio/visual support and troubleshooting prior to, and during, meetings as needed
  • Provide basic technical support for standard office equipment (copiers, printers, telepresence, etc.)
Safety & Security:
  • Participate as a member of the emergency response and location management team
  • Provide scheduled reporting for safety and security audits
  • Assist with maintaining all safety and security standards
Executive Assistant:
  • Manage the calendar of one Managing Director
  • Arrange travel (primarily domestic) 
  • Time and expense reporting
  • Event planning and coordination
Community Support:
  • Lead local community event planning and coordination (including managing to budget)
  • Manage corporate memberships
  • Roster and distribution list management
Reporting Line:
  • Directly reports to Location Services Associate Manager (Based in Redmond, WA)
  • Additional guidance provided by Portland Office Lead (Based in Portland, OR)
External Relationships:
  • Greet visitors and guests, provide escort to facility vendors
  • Serve as primary point of contact with property management
  • Interact with clients, community leaders and professional organizations
  • Engage with Workplace Solutions Group to share best practices across locations
