Position: Office Clerk

BILINGUAL - English and French – oral and written - This is a must. Must speak both languages clearly and precisely.

Worker Hours:
  • Monday to Friday

Daily hours: 
  • 7:30 am to 4:30 pm – 1 hour for lunch – Monday to Thursday
  • 7:30 am to 3:00 pm – 1 hour for lunch - Friday

  • Negotiable – starting salary 50,000. To be discussed depending on experience. (Approximately 25.00 per hour)

  • Vacation Pay:
    • 2 weeks after 12 months of employment – (4%)
    • 3 weeks after 5 years of employment
  • 9 days paid – civic holiday
    • Three-month trial period – no notice given for termination or if employee leaves.
    • After 3 months – 2-week notice must be given by the employee/employer
  • Group insurance  - 100 % coverage includes – medical, short/long term disability, life insurance, Chiropractors, physiotherapists, dieticians, Out-of-country care, mental wellness and much more.                                         
  • Yearly wellness bonus of $ 300.00

Must haves: 
  • Bilingual – French and English – Written and oral.
  • Computer skills - Microsoft word, outlook, excel, accounting – Sage or other programs, must have excellent typing skills, must like working with math.
  • Organizational skills/initiative.
  • Punctuality, courteous and polite.
  • Travel means – no bus service accommodating hours of work.
  • Professional appearance
  • Multi-tasking skills and time management.
  • Must be able to work unsupervised.
  • Must have at least 3 years of office experience and one-year accounting experience

  • Receiving all incoming calls and fielding calls for a staff of 5.
  • Administrative and office support for multiple staff.
  • E-mails – receiving, printing & placing inappropriate job folders for distribution.
  • Incoming and outgoing mail – preparation, distribution, processing.
  • Preparation of all outgoing correspondence – letters, quotes, etc…
  • Processing and preparation of all account payable documents – invoices, packing slips, work orders, purchase orders, comparisons (P.O. & packing slip for quantities received, invoices for prices).
  • Preparation of payroll when office manager is absent.
  • Preparation of cheques when office manager is absent.
  • All filling – accounts payable documents, purchase/work orders, sales invoices/ cheques, job files
  • Work in progress - opening all new job files, labels, monthly listing on a daily basis, opening job cost and inventory job files.
  • Typing and e-mailing invoices on all projects when completed.
  • Typing of all correspondence for staff (4 staff members).
  • Calculating of all inventory purchase requisitions.
  • Assisting Office Manager in various other duties if necessary 

We are looking for someone with ALL the above qualifications who is looking for a permanent position. There is a possibility of advancement in a couple of years.
