What This Job is About:

The Coordinator, Professional Affairs, offers project management, operational, and administrative support to advance the Academy of Managed Care Pharmacy’s (AMCP’s) professional and clinical initiatives. In addition, the individual will aid the cohesiveness of program and product development and optimize communication workflow. This role interacts across all levels of the association and with important external stakeholders serving on AMCP committees, advisory groups, and forums.

More specifically, key responsibilities include:

  • Handles meeting scheduling and event coordination for Professional Affairs Department, including relevant AMCP committee meetings, advisory groups, and meetings with external stakeholders. Prepares and disseminates agendas and meeting materials; develops meeting minutes.
  • Supports the Professional Affairs lead for Partnership Forum planning, including preparing materials, tracking recruitment and registration, and post-meeting follow-up.
  • Works in coordination with Senior Director to develop departmental overall coordination and communication of project status and work efforts. Responsible for tracking project status, success criteria, project/health, and communication, and working with the team to develop real-time dashboards of project status.
  • Able to proactively assess and plan for project interdependencies to optimize program delivery and proposes options for resolution. When needed, escalates functional, quality, and timeline issues or potential roadblocks appropriately for related projects.
  • Collaborates with other departments (education, business strategies, policy and government relations, membership and meetings, brand marketing and communication, and others) to coordinate cross-functional activities.
  • Facilitates identification of project best practices; documents best practices and after-action reports to optimize delivery, budget, and impact of upcoming tasks and projects.
  • Compiles content and assists with Professional Affairs for the monthly and quarterly internal and external communications reports. Serves as a conduit for team connectivity and operational excellence.
  • Manages conference and external engagement planning by tracking conference submission deadlines, supporting the department’s speaker recruitment, and monitoring acceptance.
  • Assists the Professional Affairs team with requests for information, manuscripts, and commentaries by collating comments, gathering supporting material, formatting submissions to meet editorial standards, and tracking acceptance.
  • Aids the team with slide development, including preparing, formatting, and organizing presentation slides and other materials as needed.
  • Communicates updates as needed for the AMCP webpage regarding Policy Digest Statements, Resource Centers updates, Partnership Forums, and Advisory Groups deliverables to Brand Marketing Communications team.
  • Collaborates with Professional Affairs staff to organize and manage department documents, governance, and other records to comply with record retention policy.
  • As requested, acts as a liaison with other departments and outside organizations to answer questions regarding Professional Affairs materials and activities.

  • Bachelor’s Degree and one-year working experience in an administrative or project management role or equivalent combined education and working experience.
  • Experience as a pharmacy technician or at a health care, professional, scientific company, or association is preferred.
