Job Description: Firm Practice Manager We are looking for a Practice Manager to support our team through a wide variety of tasks related to organization, implementation of ideas, and communication. Here is a bit about us: JE O’Kane, CPA/Abundant Beans Tax & Accounting is a boutique virtual tax and accounting firm that focuses on advanced tax planning, compliance, and accounting services for women-owned dental and veterinary clinics all over the country. Our clients are small business owners who value expert advisory relationships that provide attentive and personalized services. They are movers and shakers and have big goals for their businesses and their lives. We come up beside them to support them and push them forward towards those goals. We have a few prongs to our business: Proactive Entity & Tax Planning This is the bread and butter of our firm and is how we put cash back in our client’s pockets to get them closer to their goals. This is our favorite service because finding tax savings is FUN and lets us use our expertise for maximum impact. Compliance & Bookkeeping Services We provide tax services that are high quality and technically sound that support our planning efforts. Our bookkeeping services are designed for small businesses and helps them make good sound financial decisions in their business to support their growth. Growth & Goal Planning, Budgeting & Projections Growth and goals are our passion. What good is an accounting firm if all they worry about is the immediate and the past? We love getting in the nitty-gritty of our clients' businesses and pushing them to raise prices, hire that person who will take care of that stuff they aren’t very effective at and help them with our unique skill set of precision guesstimate analysis. Podcast The Abundant Beans Podcast is a weekly podcast with an international presence that tells the stories of business owners. We highlight people in many different industries, areas, and expertise to help business owners not feel so alone and provide actionable insights in each episode. Our Team We are a small virtual team that works asynchronously through a myriad of tools (there are too many if we are honest, help us.) The owner is a tax nerd with a personality who has lots of ideas and little time to implement them. She likes technology and has shiny object syndrome. We need you to help her with the implementation of her great ideas. The rest of the staff has roles in managing the bookkeeping and podcast. You will assist all of us in processes, systems, general management of projects, fixing holes in our capabilities, etc. We run on the following values: Abundance - we believe that the world is a vast place of opportunity and that money is energy. Impact - we want to leave our clients, our team, and the accounting industry in a better place than we found it. We do that every day by supporting our clients and each other. Who are you? You are the type of person who loves to work independently, loves figuring out how things work and making them better. You like people and solving their problems (even when it’s a client asking you for a digital copy of their tax return 10 times in one year). You like being the go-between for clients and partners. You WANT to fiercely guard the virtual door of our virtual office. What this position entails: Position Title: Practice Manager/Efficiency Unicorn/HBIC (the sky's the limit) Location: We are a remote (virtual team). Work wherever is best for you. Hours: Our firm is built on part-time; flexible-ish work. We want you to find that work/life synergy but we also need some availability during regular business hours to return phone calls, timely email clients, communicate with the team, etc. It can absolutely be a mix. Currently, we need approximately 15-20 hours per week, we see this position growing to 30-35 hours per week. Pay: This is an EMPLOYEE opportunity. Hourly with potential for revenue share and benefits as we grow! Duties: Supports the firm’s efficiency by:Creating, maintaining, and improving systems and processesEvaluating app stack for efficiencies and automationManages client correspondence; directs clients to necessary process(es) or staff in a timely mannerManages client deliverablesManages new leads and inquiries from start to finish by:Creating & maintaining prospects & referral partners databaseMaintaining prospect processesDirecting onboarding of all new clientsKeeping team updated on new projectsCreating proposals & maintaining pricing processesMaintains firm systems:FilingProject management SystemClient relationship managementAdministrative/marketing/social media:Interacts with vendorsPartners in firm marketing effortsInteracts on social media to further firm goals Our preferred skills: - Previous experience with strong personalities. We are direct, tenacious, authentic, self-aware, and unafraid to speak up. - Ability to herd cats. We’re thinkers and doers! How well do you work with people who are always thinking of new ideas to help the organization? Can you help people iron out the details of their new ideas? Do you enjoy implementing changes? We need someone to keep us all on the same page. - Capable of putting poops in groups (AKA getting sh*t together). We are flexible and adaptable. We’re not scared of change! Can you adapt quickly? Do you love organization? We need someone who can ensure we’re all adapting at the same pace. - Inferring what’s needed. Because we work remotely, we are self-sufficient. We’re not afraid of making decisions (or making mistakes). We are confident problem solvers and we know how to take initiative. We welcome questions but can’t and won’t provide constant guidance/hand holding or micromanage you. - Organized. Are you the czar of list-making? Do you know how to prioritize what’s important vs. what is urgent? Are your refrigerator shelves labeled? We need you. - Calling people on their bullsh*t (tactfully, of course). Sometimes we spread ourselves too thin. Sometimes we’re distracted by small details. We have such strong respect for each other that we can call someone back into focus if they’re kind of a mess. We like accountability! - Small business experience. We are a small business and we work with quite a few small businesses. Familiarity with the unique challenges and benefits of small businesses is a plus. - Strong attention to detail and affinity for processes. Can you follow every step in a process? Better yet, can you create a process? Are you great at following up and making sure things get done when they need to be? Are you a good proofreader and enjoy editing documents? We need someone who is personable and knows how to read the room. We need someone who has great communication skills and is energized by client-facing work. - Proficiency with Google Workspace/G Suite. We work with a lot of programs, but Google Workspace is kind of our home base. - Aptitude and desire to learn new software & systems. The more streamlined a process is, the better. We are adaptable and always looking for better ways of doing things. We’re looking for someone who can help us in this area as well. - Growth & Learning. Do you love learning?
