Office Administrator

Trans-Western Marketing, Inc. is a mature, dynamic and rapidly growing Washington State based corporation that provides sales and services for manufacturers in the automotive aftermarket industry. Trans-Western Marketing, Inc. has an immediate opening for an Office Administrator position.

 

Responsibilities:

  • Maintain correspondence with customers, direct phone calls and messages; organize schedules for personnel and professional appointments.
  • Maintain office supplies and equipment (copier, fax, telephones, and postage machine).
  • Overseeing storage of client data in database and providing assistance to Sales Associates.
  • Tracking and forecasting budget for office equipment/service on a year over year basis including storage, office supplies, telephone, postage & couriers and any other items.
  • Providing the entire Trans-Western Marketing team with assistance on projects as needed (and approved by the CEO).
  • Record incoming invoices, vendor inquiries and account payable collections into systems database. 
  • Prepares bank deposits and physically maintain the financial reporting system (QuickBooks).
  • Maintenance of filing system both paper and electronically.

 

Qualifications:

  • At least five years experience as office administrator with a minimum of 2 years of college.
  • Self starter who can work independently and requires little direction from management.
  • Superior organizational skills with an exceptional attention to detail.
  • Extraordinary written and verbal communication skills.
  • Strong sense of judgment, discretion and confidentiality.
  • Excellent customer service skills.
  • Basic accounting knowledge desired (payroll, accounts payable and expense reporting)
  • Strong knowledge of MS Office (Word, Excel, PowerPoint and Outlook), QuickBooks, Microsoft Publisher, and, Microsoft Project.
  • Ability to multi-task, work quickly and efficiently under pressure.
  • Strong ability to prioritize and manage multiple projects simultaneously.
  • Willingness to learn and adapt to changing priorities.
