Executive Administrative Assistant job summary

APCT is seeking an Executive Administrative Assistant to manage the reception office, answer telephones and handle various duties for upper management. We are looking for an individual who is efficient and comfortable being a member of a team, and reporting to the CEO. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.

Executive Administrative Assistant responsibilities and duties

  • Answer incoming calls and assume other receptionist duties
  • Manage workflow by prioritizing tasks, ensuring that deadlines are met, and work is completed correctly
  • Receive assignments as directed by management, and see the assignments through to completion
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
  • Schedule meetings and appointments and manage travel itineraries
  • Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
  • Maintain office supplies by checking inventory and order items
  • Respond to questions and requests for information
  • Utilize MS Office - Microsoft Word, PowerPoint and Excel - to prepare slide decks and presentations
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality

Administrative Assistant qualifications and skills

  • Minimum of 2+ years of experience as an Executive Assistant reporting directly to senior management
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
  • Detail oriented and comfortable working in a fast-paced office environment
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Friendly and professional demeanor
