Mental Health Practice Manager

The ideal candidate is bilingual in English and Spanish and has professional and lived experience interacting with people from diverse backgrounds including ethnicity, religion, gender identity, and socioeconomic status.

Essential Job Responsibilities

  • Responsibilities include, but are not limited to: office administration/front desk check-in, manages day to day operations of the practice; fielding daily questions from employee and clinical staff; assist with clinical insurance paneling and maintenance of contracts; assists with orienting and training employees and new clinicians; oversees intake and billing operations; attends and possibly heads team meetings; answering and tracking incoming phone calls, voicemails, and emails; providing detailed information to prospective clients regarding services offered at the practice; scheduling new and established clients; greeting clients; scanning, faxing, emailing documents both within- and out-of-house; ; sorting/distributing mail; assist with eligibility and benefits checking; communicating with insurance companies as needed; general office maintenance. Duties will evolve based on the needs of the office.

  • Taking initiative with the administrative goals of IHC; administrative mentoring; learning new things; coming up with creative ideas to improve something, or make something new; working well as part of a team; assist in leading the team to success; and finding ways to solve problems, or overcome challenges.

Essential Job Qualifications (Knowledge, Education, and Training Requirements)

  • Minimum: High school diploma

  • Preferred: Associates Degree or higher

  • Bilingual (Spanish/English) preferred

  • Excellent organizational, time management, decision-making skills and ability to multitask

  • Patient, pleasant, and understanding, with the ability to remain calm and diffuse tense situations. Handle sensitive and highly personal information on a daily basis, maintain confidentiality in a mature and non-judgmental manner.

  • Proficient computer skills and experience using Microsoft Office (Word, Excel, Powerpoint)

  • Strong customer service and interpersonal communication skills

  • Previous front desk, reception/receptionist, administrative assistant, or office experience preferred

  • An interest in psychology, counseling, the behavioral sciences, social work, or healthcare is strongly preferred

  • Ability to demonstrate patience, humor, and flexibility in your interactions with staff and clients

  • Good attention to detail and ability to organize, prioritize, and multi-task duties.

  • Compassionate understanding toward individuals struggling with mental health concerns
