Sales Administrator

Position Summary
The Sales Administrator is responsible for ensuring that the sales department operates smoothly.
They support the Vice President of Global Sales and Directors of Sales, and work with an
international team of salespeople and account managers to coordinate and support all processes
involved in the sales cycle, from lead acquisition through initial contact through closing deals. This
includes ensuring that all tools and resources required by the sales team are accurate and up to
date, including pricing and documentation. The Sales Administrator is responsible for managing data
resources including CRM and quote and order systems to ensure accuracy.
The Sales Administrator also coordinates with marketing to execute promotional activities such as
trade shows and other industry events. They serve as a liaison between the sales organization and
other departments.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Maintaining the accuracy and data integrity of the CRM and related systems
- Organizing and distributing sales leads to sales manager and sales representatives
- Maintaining documentation and resources for the sales team, including pricing structures for
- products or services, reference and technical documentation, and other support materials
- Ensuring that sales and account management teams have access to all necessary new account
- forms, contracts, and current memoranda and promotional programs
- Monitoring CRM usage and activity, and providing various reports as required by the Vice
- President of Sales
- Reviewing marketing materials to ensure that they are accurate and effective in promoting
- products or services
- Acting as liaison for sales with other departments, including operations, finance, and
- marketing
- Supporting Account Management with systems or process issues
- Coordinating events such as trade shows or seminars that promote a company’s products or
- services to specific groups of consumers
- Documenting action items and initiatives, and supporting the VP of Global Sales in
- prioritizing, executing, and/or delegating those items
- Analyzing data to identify trends in customer behavior, preferences, and satisfaction levels
- Providing additional support to Vice President of Global Sales, including, but not limited to
- special projects, research, communication, and interdepartmental coordination
Minimum Qualifications (Knowledge, Skills, and Abilities):
- Proficient with Microsoft applications – Word, Excel, Outlook and Power point
- Excellent written, organizational and verbal communication skills
- 2(+) years customer-facing experience
- Experience with CRM systems or similar database applications
- Ability to adapt and quickly build rapport with internal and external clients
- Adaptive and comfortable working in a fast-paced environment
- Comfortable with change & adaptation to new systems & workflow
- Understanding of sales processes and dynamics
- Sales experience preferred
- Market and industry knowledge preferred
