Job Title: Coordinator, Facilities

Job Status: Full-Time 

Job Summary:

Under limited direction, uses knowledge in facilities maintenance and skills obtained through experience, training or certification to maintain ACCESS properties and coordinate safety and emergency preparedness programs, to include scheduling preventative maintenance, service and repairs of the facility. Leads defined work or projects of moderate scope and complexity. Incumbent is responsible for the overall presentation of the building, maintaining a professional environment, ensuring the 100% readiness of critical systems and services, and responding to urgent maintenance calls. In addition, incumbent is involved in the development, implementation, and communication of organizational safety policies, programs, and procedures.


Essential Duties and Responsibilities:

  • Promote policy for facility standards and ensure compliance throughout the facility through monthly inspections and creation and completion of work orders
  • Maintain environmental conditions so they are acceptable for the safety and comfort of ACCESS employees and visitors
  • Develop organizational systems and oversee management of maintenance and safety checks including but not limited to emergency preparedness drills, safety and maintenance checks, safety-related training schedules
  • Oversee management of ACCESS fleet, drivers, reservation calendar and vehicle maintenance
  • Oversee and execute soft facility services: grounds care & maintenance, cleaning, waste management, and others as assigned
  • Assist building maintenance and management team in locating and sourcing parts, supplies, and materials
  • Conduct outreach to and manage relationships with vendors related to building maintenance and management
  • Coordinate facilities-related projects and ensures successful and timely completion
  • Responsible for proactive compliance with safety regulations (OSHA)
  • Maintain currency in building maintenance and repair, safety regulations and emergency management planning
  • Think strategically and develop proposals for improvements to policies and procedures related to building maintenance and management to present to ACCESS leadership
  • May be responsible for completing procurement processes related to building maintenance and management
  • May lead the work of others and provides training in building maintenance, service procurement, vendor and repair processes
  • May provide professional services for all facilities such as space planning, improvement cost estimating, scheduling and implementation
  • May represent the building maintenance and management team on committees and assist in the planning of ACCESS events
  • Operate standard office equipment and use required software applications
  • Perform other duties and responsibilities as assigned


Knowledge, Skills and Abilities:

Knowledge of:

  • Basic concepts, principles and practices of estimating, scheduling, budgeting/cost control, field supervision, financial reporting, end user relationship, interpersonal skills, computer skills and safety/insurance
  • Building maintenance: activities required to repair, upgrade, and prolong the life of equipment

Skill in:

  • Must have strong interpersonal skills and ability to work in a team environment
  • Strong organizational skills in managing multiple projects simultaneously
  • Providing excellent customer service
  • Operating standard office equipment and using required software applications for program area and other applications, including Microsoft Office

Ability to:

  • Balance conflicting resource and priority demands
  • Partner with other functional areas to accomplish objectives
  • Facilitate meetings, ensuring that all viewpoints, ideas and problems are addressed
  • Interpret and apply policies and identify and recommend changes as appropriate
  • Organize, manage and track multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment
  • Perform and manage technically complex projects using independent judgment and personal initiative
  • Build strong internal and external relationships using effective verbal and written communication skills
  • Recognize and act on opportunities; adjust direction when situation warrants
  • Work independently without regular direct supervision
  • Communicate effectively, both orally and in writing

Educational/Previous Experience Requirements:

  • Minimum Degree Required:
    • Some college/college degree preferred


  • At least one year of responsible experience in building systems and maintenance, grounds and custodial services. Any equivalent combination of experience, education, and/or training approved by Human Resources


  • Licenses/Certifications Required at Date of Hire:
    • None

Working Conditions:

Hours: Normal business hours, some additional hours may be required

Travel Required: Local travel, up to 10%

Working Environment: Climate controlled office
