Construction Office Assistant Mission:

You are the pillar behind the scenes for this residential construction company. You handle the all-important administrative function that allows time and for the whole team to lead projects. You make the company more organized and efficient.

Construction Office Assistant Expectations:

  • Ensure information integrity through accurate data entry
  • Safeguard the financial integrity of the business and help us improve our bottom line by accurately creating and sending agreements, change orders and invoices to customers
  • Enable the owner to manage construction projects more effectively by providing high level assistance
  • Be resourceful and proactive in dealing with issues that may arise
  • Organize the filing system with techniques to increase efficient workflow
  • Support owner with tasks including contract and job documentation
  • Manage and track inventory

Construction Office Assistant Skills & Experience:

  • Understands that working independently and teamwork go together
  • Able to represent yourself professionally with management, crew and our customers
  • Effective decision maker who appreciates the opportunity to improve workflow for the whole team
  • Has a natural curiosity and enjoys digging into and solving problems
  • Thinks fast and enjoys being active
  • Microsoft Excel: creating formulas, improving templates, formatting spreadsheets
  • Proficient at Microsoft Office
  • 3 years of administrative support minimum

Additional Skills And Tasks:

  • Manage customer data
  • Keep updated notes on customers inquiries and project flow
  • Address and communicate customer issues in a timely manner
  • Update Outlook accordingly
  • Manage project files
  • Manage subcontractors and in-house employees
  • Order materials and keep updated material spreadsheets
  • Schedule customer meetings
  • Run reports
  • Manage phone lines and direct calls
  • Produce letters, forms, change orders, spreadsheets, invoices and contracts
  • Research documents as required
  • Assist owner as necessary
  • Coordinate activities and manage customers remodelling projects
  • Order and stock office supplies and project materials
  • Serve as primary contact for other groups such as vendors, suppliers, contractors, inspectors, etc.
  • Coordinate permits (occasionally)
  • Process invoices
  • Work with accounting to ensure assets are tracked properly
  • Must be proficient in Microsoft Office: Outlook, Excel, Word, Adobe PDF
  • Must be a self-starter and have a positive attitude

  • Company office is in Redmond

Schedule:

  • Monday to Friday from 9:00 am to 5:00 pm Pacific Time
