Job Description

Our events at A New Leaf are a vital tool in celebrating and communicating not only what we do but “why” we do it. Our events give voice to the passion we have for all that we do. Our Special Events Manager is key to our success and requires a highly organized, creative, detail oriented and motivated person to serve as lead for event planning, revenue generation, management, production and sponsorship.
Events include fundraising galas, corporate functions, golf outings, tradeshow exhibitions, and conferences, among others. The position deals with a wide range of responsibilities that include: seeking & securing sponsorships, event theme building, creating event programs, communicating with event attendees & corporate donors, marketing, contracting vendors, coordinating event logistics, timelines and tasks as necessary for event production as outlined below:

DUTIES AND RESPONSIBLITIES
Responsibilities will include but not limited to:

  • Assist with generating a special event fundraising calendar, and maintain and implement, including, known/existing opportunities, prospect and cultivation activities, and reporting requirements.
  • Update and assist in developing fundraising/stewardship correspondence in the agency’s personalized communication style.
  • Prepare agendas and participate in Board of Directors Special Events committee meetings. Lead event subcommittees and participate in committee recruitment.
  • Maintain up-to-date contact records and accurate information on all past and current funding points of contact, including, donor acknowledgement with gift detail and tracking progress in Raiser’s Edge.
  • Work with Chief Philanthropy Officer, CEO, Board of Directors, and members of the Philanthropy Team to secure event sponsorships.
  • Work with Director of Community & Civic Engagement and Chief Philanthropy Officer to create post-event donor retention plan.
  • Execute A New Leaf special events: Annual Board, Volunteer, and Donor Recognition Luncheon; Camaraderie Gala Fundraiser; Teed Off; and other events deemed necessary by agency leadership.
    • Research, plan, and secure venues and vendors for all aspects of events; including, auctions, services, entertainment.
    • Coordinate and work with Chief Philanthropy Officer and members of the Philanthropy Team.
    • Responsible for all paperwork regarding special events to include invitations, awards, donations, event programs, guest lists, seating charts, instructions, contracts, billings, thank-you cards/letters, tax statements, prize lists, sponsorship amounts, auction lists, etc.
    • Utilize graphic design software and create online event pages using Blackbaud event modules.
    • Provide information to Communications staff for social media, press release and other forms of printed pieces and/or advertising tools. Assist Marketing staff in social media strategy.
    • Responsible for event documentation to include sponsorship amounts, sales, donations, thank you emails, hard copy and handwritten notes, and stewardship practices for participant’s support retention.
  • Recruit and oversee third party event partners.
  • Maintain a professional working relationship with clients, A NEW LEAF employees, community members and the public to ensure proper representation of A NEW LEAF.
  • Drive personal vehicle to conduct department business.

QUALIFICATIONS:

Education:

  • High School diploma or GED required

Experience:

  • 5 years special event/fundraising experience; preferably in a non-profit setting.
  • Strong written communication and editing skills.
  • Experience in developing events that are creative and novel.
  • Experience with Blackbaud Raiser’s Edge database, preferred.
