Job Summary

  • Performs varied secretarial and administrative duties for administrative department.

General Accountability

  • Ensures confidentiality and controls access to sensitive information, such as staff personnel files and client files.
  • Ability to listen to sensitive mental health information regarding potential clients.
  • Provides referral resources to other mental health community agencies, if appropriate.
  • Responds to inquiries and requests for information requiring knowledge of departmental and company policies and procedures.
  • Serves as an internal resource to administrators or staff on departmental and company procedures.
  • Performs administrative duties associated with scheduling, coordinating meetings and planning events.
  • Arranges with vendors for services, prepares agendas, gathers and organizes supporting information, and oversees production and distribution of related materials.
  • Composes and produces business correspondences, reports and related materials or guides the work of other staff who produce these materials.
  • Reviews and signs materials, as authorized.
  • Edits documents produced by others.
  • Oversees office operations within job related duties
  • Schedules, assigns and prioritizes workload by setting appropriate deadlines.
  • Greets visitors and obtains name and other pertinent information, notifying appropriate individuals of visitor's arrival.
  • Answers and routes calls, as necessary, to appropriate individuals.
  • Accurately takes and delivers messages.
  • Maintains log of all calls requiring further action.
  • Accepts and signs for packages, and notifies addressee of package arrival.
  • Performs a variety of routine clerical tasks.
  • Maintains clean and orderly reception area.
  • Retrieves, sorts, and delivers mail.
  • Uses various computer applications, such as database management and word processing.
  • Creates, maintains, and enters data into appropriate databases.
  • Schedules appointments using spreadsheets or software.

Job Qualifications

  • Education: Associate's degree or 3-5 years of experience working in a medical office setting
  • Experience: 1-2 years of job-related experience preferred
