What We're Looking For: The Workplace Associate contributes to the optimization of the 2U employee workplace experience by focusing on the building's continuity and providing white-glove service. We are seeking a knowledgeable workplace associate to ensure an optimal working environment in our building(s). In this role, you will be responsible for performing regular building safety and security inspections, maintaining our building's assets, and doing building walkthroughs. Proof of COVID-19 vaccination is required for non-remote incumbents who accept this job. Responsibilities Include, But Are Not Limited To: Reception * Serve as the initial point of contact for any 2U building guest * Check-in visitors, maintain visitor log, and provide temp badges * Handle emergency situations (EMT) as they arise * Maintain safety and security of the building by monitoring security cameras * Answer incoming calls from the general company number * Handles vendors and shipping/receiving Supplies * Restock general employee supply stations * Manage individual employee supply requests * Manage supply inventory and spend in accordance with the allocated location budget New Hire / Orientation * Work with managers to identify new employee locations and prepare the desks * Support 2Ute team relocations (e.g., move boxes, new seating, etc.) * Facilitate the new hire orientation facility and safety tour Operations * Assist with shipping and receiving including sorting mail, delivering to exec team, and sending package notifications to staff * Managing building and equipment maintenance schedules. * Responding to urgent maintenance calls. * Preparing for emergencies by creating building evacuation and other action plans. * Testing building security systems and promoting safety within the building. * Managing equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment and supplies, and climate control. * Liaising with vendors and suppliers on behalf of senior managers. * Reporting to the Workplace Manager on a regular basis. * Supervising cleaning crews and maintenance workers. * Documenting processes and keeping maintenance records. * Monitoring maintenance budget spending on COUPA and conducting accruals. * Building Continuity * Conduct regular building walkthroughs to check for safety and proper functioning * Ensure furniture is clean and in good condition * Report any defective issues via Salesforce ticketing * Supports management of the hybrid environment * Other duties as assigned 2U Events * Support the Events Team with event set-up and catering or building-wide events * Support Workplace Specialist with small team events (e.g., happy hours) with set-up and catering Things That Should Be In Your Background: * Bachelor's degree preferred, but not required * 2-3 years of customer service experience * Experience in an office environment preferred * A completed course in facilities management will be advantageous * A minimum of 2 years of experience in facility coordination, project management, or real estate * Extensive experience in building and equipment maintenance * Advanced knowledge of maintenance planning and schedules * Ability to respond to building and equipment emergencies * In-depth knowledge of building safety regulations and security protocols * Proficiency in office software, such as Microsoft Word, Excel, and Salesforce * Excellent organizational and communication skills Other Attributes That Will Help You In This Role: * A positive attitude and a teamwork mentality * Excellent work ethic * Good organization skills * Good written and oral communication skills * Eye for detail and creativity * Ability to work in a fast-paced environment * Flexible and able to multitask, adjust priorities as needed within a collaborative environment About 2U Inc.
