Operations and Finance Manager


Job summary

Reporting to the President & CEO, the Director of Operations and Finance (DOF) will plan and direct the organization and accounting operations of the company. The DOF will work closely with internal leadership team members as well as other partners as directed. The DOF will be responsible for ensuring all departments, including the accounting department, adheres to GAAP and other best practices, while also working with the President & CEO to supervising Human Resources, performance review processes, onboarding/offboarding procedures, purchasing and capital procedures, and IT functions of the organization as it grows. The DOF will promote organizational stability and growth by maximizing company processes and procedures, setting budgets and financial goals, and supporting the President & CEO.

Financial Duties/Responsibilities:

• Maintains a documented system of accounting policies and procedures; implements a system of internal controls over accounting transactions to minimize risk.

• Manages and oversees all aspects of general ledger including allocating and posting transactions to the general ledger in the SAGE accounting software

• Oversees the production of periodic financial reports including month-end financials; ensures

that the reported results comply with generally accepted accounting principles (GAAP).

• Provides financial analysis, with emphasis on variances to budget and job variances; ability to

explain differences and identify opportunities for cost containment within each branch and for

the company as a whole

• Work with departments to prepare budgets and consolidate them into overall budget for

approval by Leadership Team & Board of Directors

• Manages routine finance operations such invoice processing, bill payment, accounts payable,

payroll accounts receivable and credit and collection.

• Contributes to financial oversight including budgeting, forecasting and monthly cashflow


• Coordinate with tax accountant and preparing records for review

• Assuring corporate income tax compliance to assure the accurate and timely completion of all

corporate income tax returns Ensures compliance with local, state, and federal government


Operational Duties/Responsibilities:

• Builds and maintains a documented system of organizational policies and procedures and

ensures that company policies are being followed with regards to human resources, purchasing,

reporting, and IT functions.

• Create new company policies and processes as needed to improve efficiency, transparency and clarity.

• Liaise with organizational heads to make decisions for operational activities and set strategic


• Oversee hiring processes for filling vacant positions.

• Ensure that the company runs with legality and conformity to established regulations

Supervisory Responsibilities:

• Manages and oversees the operations of the Accounting Department & Office Manager

• Responsible for hiring, training and retaining accounting and back office staff

• Oversight of HR contract consultant

Education and Certifications:

• Bachelor’s degree in Accounting, Finance, Business Administration or similar discipline required,

graduate degree preferred but not required

• 2+ years of experience in financial management required

• Experience in human resources and operations management preferred

Skills and Capabilities:

• Strong supervisory and leadership skills; communicate and be committed to the

organization’s mission, vision and principles.

• Proficient in MS Office and accounting computer application systems.

• Excellent verbal and written communication skills.

• Excellent organizational skills - ability to prioritize work, multi task and be detail oriented.

• Strong analytical and problem-solving skills.

• Ability to work in a small, work environment that is fast paced and ever changing.

• Ability to be flexible and willing to change directions easily.

• Strong team player and willing to help others across the organization.

• Self motivated.

• Ability to communicate with a wide range of individuals - proactively communicates to

mitigate questions, concerns so parties feel heard.

Physical Requirements:

• Ability to work flexible hours (some nights and weekends).

• Prolonged periods sitting at a desk and working on a computer.

• Must be able to lift up to 15 pounds at times.

• Provided a flexible hybrid work schedule where eligible to work from home on a regular

basis each week with some in-office work necessary for certain duties.

The Director of Operations and Finance is a non-exempt employee. Compensation shall be

commensurate with experience and will qualify for a generous benefits package to include health, dental, and retirement contributions. Vacation and sick time are also included.
