Job Description

We are seeking an organized, personable, self-motivated financial professional with an in interest in music and media and a passion for workflow to join our team in the newly created position of Music License Financial Administrator.

The Administrator will oversee invoicing, receiving and distribution of client license fees to publishers, record labels and unions.  The Administrator will also oversee many financial aspects of the company including:

  • License payments:          Receiving, processing, verifying and reconciling license fee payments
  • Union Fee payments:      Reviewing and processing union “new-use” fees to performers
  • General Bookkeeping:    Overseeing accounts receivable and reconciling company general accounts
  • License Tracking:            Keeping license traffic moving from both clients and licensors
  • Procedure Upgrades:      Helping redesign our processes for an increasingly mobile and virtual industry

Experience & Requirements:

  •  Associate or bachelor’s degree preferred
  • 1-2 years of prior work experience, preferably in a music or production environment
  • Experience with QuickBooks,Microsoft Outlook and Excel and Adobe Acrobat Pro;
  • Some familiarity with relational databases;
  • Past experience with ACH payments processing and NACHA a plus

License Accounts:

·        Process outbound license payments via check, Wire or ACH via EMG’s proprietary database system

·        Notify payees of ACH payments

·        Maintain W9 or W8 BEN PDF documentation for payees and payable account information for outbound ACH payments.

·        Manage invoice entries and receipts (via check/ACH/Wire) and follow-up on payments.

·        Manage inbound licensor payments (via check, wire or ACH) ensuring payments are timely and accurate.

·        Reconcile payables and receivables to bank statements

·        Handle requests from EMG’s clients, outside bookkeeper and accounting team

License Documents

·       Confirm financial details of license agreements agree with negotiated deals

General Accounts:

·        Invoice, track and follow-up client payments;

·        Input and track monthly expenses;

·        Reconcile bank and credit card statements
