Description
The IT Healthcare UKG Workforce Management (WFM) Manager is responsible for leading the strategy, implementation, optimization, and ongoing support of enterprise workforce management capabilities across the healthcare system. This role ensures effective delivery and adoption of UKG Workforce Management solutions including timekeeping, scheduling, advanced scheduling, attendance, productivity, analytics, data hub, dashboards, and clinical scheduling extensions.
The Manager partners closely with clinical, operational, HR, Finance, Payroll, and IT stakeholders to drive workforce optimization, labor cost control, compliance, and improved staff experience through scalable and integrated digital solutions. This individual will lead a growing team and we are seeking a candidate with sound techincal experience in the UKG product space within the healthcare industry.
RESPONSIBILITIES:
Workforce Management Platform Ownership
  • Lead end-to-end ownership of the UKG WFM platform, including configuration, enhancements, and integrations.
  • Establish governance, standards, and best practices for workforce management processes across the enterprise.
  • Drive continuous improvement initiatives aligned to workforce optimization goals and operational performance.

Timekeeping & Attendance
  • Oversee enterprise timekeeping and attendance management, including accruals, exceptions, and compliance rules.
  • Ensure accurate timecard processing, audit readiness, and adherence to labor laws and organizational policies.
  • Collaborate with HR/Payroll teams to optimize workflows and reduce manual corrections.

Scheduling & Advanced Scheduling
  • Lead delivery and optimization of staff scheduling and advanced scheduling capabilities, including:
    • Demand-based scheduling
    • Self-scheduling and shift bidding
    • Schedule optimization and automation
    • Ensure alignment with clinical staffing models and operational requirements.
    • Support integration with external systems (e.g., PeopleSoft, Epic, Qgenda, StrataJazz, AbsenceSoft) to streamline scheduling workflows.

Clinical Scheduling Extensions
  • Support and expand clinical scheduling capabilities across nursing, perioperative, and ancillary departments.
  • Enable flexible scheduling models for complex care settings (e.g., OR, ED, imaging, therapy services).
  • Partner with clinical leaders to improve staffing efficiency, patient throughput, and workforce satisfaction.

Productivity & Labor Management
  • Implement and enhance productivity tracking and labor management tools within UKG.
  • Define and monitor workforce KPIs (e.g., worked hours, overtime, productivity ratios).
  • Provide actionable insights to operational leaders to drive labor optimization.

Analytics, Data Hub & Dashboards
  • Lead development and governance of core analytics, data hub integrations, and executive dashboards.
  • Deliver real-time visibility into workforce metrics including staffing, attendance, productivity, and labor costs.
  • Partner with data and reporting teams to standardize reporting frameworks and ensure data integrity.
  • Knowledge of integration technologies (APIs, data hubs, or reporting platforms like Power BI)

Integration & Interoperability
  • Oversee integration of UKG with enterprise systems (e.g., Epic, HRIS, payroll, scheduling systems).
  • Ensure seamless data flow across platforms supporting scheduling, timekeeping, and reporting.
  • Partner with integration teams to support API and middleware solutions.

Leadership & Stakeholder Engagement
  • Lead and develop a team of analysts, application specialists, and support resources.
  • Serve as the primary liaison between Digital IT, HR, Finance, Payroll, and Clinical Operations.
  • Facilitate steering committees, roadmap planning, and executive updates.

Serve as primary IT leadership liaison across:
  • Human Resources (policies, job codes, workforce structure)
  • Payroll (pay codes, earnings mapping, reconciliation)
  • Operational leaders (staffing practices, scheduling policies)
  • Communicatesystem updates, changes, and best practices across the enterprise

PREFERRED QUALIFICATIONS:
  • 7+ years of experience in workforce management systems, with strong focus on UKG (Dimensions/Pro WFM)
  • 5+ years of leadership or management experience
  • Deep functional knowledge of: Timekeeping and attendance, Healthcare Staff scheduling and advanced scheduling, Workforce analytics and reporting
  • Experience in healthcare workforce operations
  • Experience with clinical scheduling solutionsand multi-department healthcare environments
  • Familiarity with integrations involving PeopleSoft, Epic, QGenda,StrataJazz, AbsenceSoft or similar systems
  • Experience building data hubs, dashboards, and executive reporting tools
  • Knowledge of labor laws, union rules, and regulatory compliance in healthcare settings

MINIMUM QUALIFICATIONS:
  • Bachelor's degree in Computer Science, Engineering, Information Systems, or a related field from an accredited college or university, or equivalent work experience.
  • Seven years of experience which includes designing and implementing highly complex systems on multiple platforms.
  • A knowledge of and experience with a highly reliable, mission-critical, geographically dispersed production environment.
