Summary:
The Vendor Management Sr. Analyst works under the direction of the Vendor Manager to assist with the organization’s relationships with vendors, contractors, and other service providers. The associate will participate with vendor management activities and coordination as assigned by their manager.

The Sr. Analyst role is expected to assist in defining and adhering to all aspects of Demand Intake, Contract execution, Invoice tracking, Deliverables tracking and Service Level Agreement tracking. This requires close collaboration with Vendor Management as a Service team (VMaaS), Managed Services Provider, Procurement Vendor and BBW Function Leaders. The Sr. Analyst ensures that governance, frameworks and processes are adhered to and will work directly with IT / Vendor partners to ensure that issues are resolved timely. This includes Contract Changes, Amendments, Invoice Management and Governance Library processes.

Responsibilities:

  • Ensures that BBW Function Leaders evaluate vendor deliverables, assess quality/completeness and accept (or reject) in accordance with applicable Contract Acceptance procedures.
     
  • Independently resolves issues with Managed Service Provider regarding any unresolvable contract compliance issues.
     
  • Maintains contribution Library Documents and align with Governance Library usage and controls.
     
  • Supports and maintains invoice tracking to confirm that the services were received at the level expected.
     
  • Closely and continuously partners with VMaaS and Finance to provide payment and purchase order (PO) information to Managed Service Provider.
     
  • Supports issue resolution as quickly as possible to prevent incurring the dispute resolution process, as specified in the Contracts.
    Partners with Procurement and BBW Leaders to facilitate negotiations with Vendors, obtaining knowledge of all final decisions and approvals associated with negotiations.
     
  • Ensure BBW leaders receive, review and accept (or reject), via the Governance Tool, Vendor's aggregated Service Level reports after validation and finalization.
     
  • Supports continuous improvement efforts and ensures obligations outlined in the agreements are met.
    Implements approvals, acceptance, and execution of Service Level changes per contract process.
     
  • Receive and review Vendor recommendations with BBW Leaders.
     
  • Ensures BBW leaders review and provide final decision on approval of Contract Change Requests.
     
  • Supports Vendor Manager and VMaaS to develop an aligned process to initiate and evaluate demand for Managed Services provider.
     
  • Monitors approvals of proposals and estimates based on demand management and budget directives.
Qualifications
  • 5-7 years of relevant experience
     
  • Experience with contract administration and additional third parties to deliver services.
     
  • Experience with contract change process
     
  • Experience with Service Now strongly preferred
     
  • Excellent communication skills
     
  • Excellent analytical ability – Excel, PowerPoint required
     
  • Demonstrated capability of preparing and communicating key messages to senior leaders
     
  • Experience supporting performance measures and the impact on organizational performance
     
  • Understanding of impacted Technology and Business impacted functions
     
  • GBS/Managed Service experience required
     
  • Problem determination and root cause analysis skills
     
  • Experience in working within a Vendor / Service Provider relationships and large contracts
     
  • Experience in supporting negotiations, influencing and problem resolution of contracts
     
  • Education: Bachelor’s degree in relevant field; or a combination of equivalent experience and education
     
  • Experience supporting Vendor Management strategies & governance best practices
