Job description

Job Description
Aramark is hiring a Facilities Service Response Coordinator to support facilities maintenance operations at Rich Products in Buffalo, New York.
 
This role is heavily focused on the use of TMA Systems CMMS software, which serves as the core operational platform for managing facilities maintenance requests, dispatch coordination, work order tracking, vendor communication, reporting, and service completion monitoring. Candidates must have direct hands-on experience using TMA Systems or a similar CMMS platform. This is the most critical requirement for the role, and only candidates with CMMS work order management experience will be considered.
 
The Facilities Service Response Coordinator serves as a central operational support resource responsible for opening, dispatching, tracking, updating, and closing work orders while ensuring facilities maintenance requests are completed efficiently, accurately, and within service expectations.
 
The ideal candidate will be highly organized, detail-oriented, technically proficient, and capable of managing multiple priorities in a fast-paced facilities operations environment.
 
This is a temporary four month assignment, with potential to go permanent.

Compensation Data

COMPENSATION: The salary range for this position is $60,000.00 to $65,000.00. If both numbers are the same, that is the amount that Aramark expects to offer.  This is Aramark’s good faith and reasonable estimate of the compensation for this position as of the time of posting.

Job Responsibilities
  • Utilize TMA Systems CMMS software to manage daily facilities maintenance operations and service response activity
  • Open, assign, dispatch, update, track, and close work orders accurately within the TMA platform
  • Monitor work order progression to ensure maintenance requests are completed within service expectations and required timelines
  • Pull operational reports and analyze work order activity, aging work orders, service completion metrics, and maintenance performance data
  • Identify overdue work orders, service gaps, operational bottlenecks, or infrastructure concerns and escalate appropriately
  • Coordinate maintenance service requests involving HVAC, plumbing, electrical, carpentry, appliance repair, pest control, and general facilities maintenance
  • Dispatch service technicians and vendors based on urgency, location, and operational priority
  • Maintain accurate documentation, service notes, work order updates, and communication records within TMA
  • Communicate professionally with clients, technicians, vendors, and facilities leadership regarding work order status and service updates
  • Follow up with technicians and vendors to ensure timely service completion and customer satisfaction
  • Assist with troubleshooting operational issues and escalating unresolved maintenance concerns
  • Support multiple service requests simultaneously while maintaining strong attention to detail and responsiveness
  • Participate in rotational after-hours support schedules, including nights, weekends, and holidays as needed
  • Operate effectively in a fast-paced facilities operations environment with minimal supervision


Qualifications
  • Direct experience using TMA Systems CMMS software is strongly preferred
  • Candidates with hands-on CMMS experience involving work order management, dispatch coordination, reporting, and facilities operations will receive strongest consideration
  • Must have experience opening, tracking, managing, updating, and closing work orders within a CMMS platform
  • Must have experience pulling reports, monitoring work order performance, and tracking service completion metrics
  • Strong communication and customer service skills required
  • Previous dispatch, facilities coordination, maintenance support, or service response experience preferred
  • Strong multitasking, organizational, and prioritization skills required
  • High attention to detail and accuracy required
  • Experience coordinating vendors, technicians, and maintenance service providers preferred
  • Strong Microsoft Office and computer navigation skills required
  • Ability to work independently with minimal supervision in a fast-paced operational environment
  • Manufacturing, industrial, healthcare, higher education, or commercial facilities support experience is a plus
  • Must demonstrate exceptional reliability, responsiveness, and schedule adherence
