Job Summary:

The Receptionist serves as the first point of contact for the facility, providing courteous and professional customer service to residents, families, visitors, vendors, and staff. This position is responsible for managing incoming calls, greeting visitors, and providing clerical and administrative support to facility leadership while maintaining a welcoming and organized front desk environment.

Duties and Responsibilities

1. Front Desk & Telephone Operations – 35%

  • Answer and route incoming telephone calls promptly and professionally
  • Greet residents, families, visitors, and vendors and direct them appropriately
  • Maintain a friendly, calm, and professional demeanor at all times

2. Customer Service & Visitor Relations – 25%

  • Provide exceptional customer service with compassion and empathy
  • Assist visitors with questions and basic information
  • Maintain a neat, organized, and welcoming lobby and reception area

3. Administrative & Clerical Support – 25%

  • Provide clerical assistance to the Administrator and management staff as requested
  • Perform typing, copying, faxing, filing, and other office tasks
  • Distribute mail, paychecks, meal tickets, and other materials as directed
  • Forward mail for former residents according to facility procedures

4. Compliance & Training – 10%

  • Follow all HIPAA privacy regulations and maintain confidentiality of resident and staff information
  • Attend all mandatory in-services, meetings, and training sessions

5. Other Duties as Assigned – 5%

Qualifications
  • Education: High school diploma or equivalent.
  • Experience: Prior experience in a receptionist or clerical role preferred, especially in healthcare settings.
  • Skills: Excellent communication and customer service skills. Strong organizational and multitasking abilities. Proficiency in basic office software.
Physical Requirements
