Weโ€™re searching for a driven, dependable Executive Administrative Coordinator to be the heartbeat of our fast-growing organization. This is an exciting opportunity to work side-by-side with our Regional Owner/Broker and executive team while playing a hands-on role in the business's momentum and success.

From coordinating priorities to jumping in wherever support is needed, youโ€™ll be at the center of the action in a high-energy, team-first environment where no two days are the same.

What Youโ€™ll Do:

Supporting daily operations and team needs.

Manage calendars, emails, phone calls, and meetings for the Regional Broker Owner with efficiency and precision.

Coordinate meetings between the Broker, clients, and agents, ensuring seamless communication and preparation.

Prepare professional reports, emails, phone calls, reports, and correspondence for internal and external use.

Handle confidential information, contracts, and documentation with discretion.

Attend staff meetings and actively contribute ideas to improve workflow and team collaboration.

Make outbound calls to prospective and existing agents to support recruitment, engagement, and growth.

Compile and maintain team reports, tracking performance and operational metrics.

-Professional Qualifications โ€“ Executive Administrative Coordinator

Education & Certifications:

Bachelorโ€™s degree preferred in Business Administration, or a related field.

Professional certifications (e.g., Certified Administrative Professional, Real Estate License) are a plus.

Technical Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.

Experience with real estate management software (e.g., MLS, Zipforms, Skyslope) is highly desirable.

Strong typing, data entry, and document management skills.

Administrative & Organizational Skills:

Exceptional organizational, time management, and multitasking abilities.

Ability to manage calendars, coordinate meetings, and organize regional office operations.

Strong attention to detail and accuracy in preparing reports, presentations, and correspondence.

Communication & Interpersonal Skills:

Excellent verbal and written communication skills; professional and polished demeanor.

Ability to interact effectively with internal teams, clients, and vendors at all levels.

Professional Conduct:

Ability to handle confidential and sensitive information with discretion.

Self-motivated, proactive, and adaptable to a fast-paced real estate environment.

Strong analytical and critical thinking skills to support executive decision-making.

Schedule & Compensation:

Schedule: 8-hour shift, Monday to Friday (Day shift)
