WHO WE'RE SEEKING:
We're seeking a unique individual who will embody the heart and soul of the Fort Worth Stockyards while caring deeply about our brand and community - someone who acts as an extension of our mission, values, and culture. ESSENTIAL RESPONSIBILITIES:
The Executive Assistant handles a wide range of administrative, communication, and logistical tasks to keep the executive office organized, informed, and running efficiently. This includes:
Executive Office Management:

  • Maintain efficient filing systems (both physical and digital) for the executive office.
  • Create professional presentations, reports, and other documents according to executive specifications.
  • Organize and prepare for meetings, including agendas, materials, and arrangements.
  • Coordinate approvals & signatures through company executives, ensuring all necessary approvals are obtained and paperwork is handled efficiently.
  • Handle other administrative tasks such as expense reports, document creation, and office supplies.
Scheduling and Travel Coordination:
  • Manage the executive's calendar, prioritizing appointments, scheduling meetings, and resolving conflicts efficiently.
  • Arrange travel for executive team such as coordinating flights and accommodations.
Project and Task Support:
  • Assist with ongoing projects and special tasks as assigned, which may involve research, data analysis, or presentation creation.
  • Demonstrate initiative and resourcefulness, readily adapting to changing priorities and taking ownership of delegated tasks.
Executive Office's Guest Relations and VIP requests:
  • Liaise with hotel departments to ensure exceptional service for guests and in-house clientele of the executive including room arrangements, amenity support, and reservations if necessary.
  • Coordinate requests for amenities, security arrangements, and other guest-related needs, upholding the hotel's luxury standards.
ADDITIONAL RESPONSIBILITIES:
  • Maintain strict confidentiality regarding all matters pertaining to the executive team, hotel guests, and hotel operations.
  • Exercise discretion and professionalism in all communications and interactions.
  • Be prepared to act as a resourceful and trusted advisor, anticipating the executive's needs and proactively finding solutions.
  • Possess excellent adaptability and the ability to handle a variety of tasks with efficiency and accuracy.
  • Demonstrate a willingness to go the extra mile to ensure the smooth operation of the executive office and support the executive's success.
  • Anticipate and proactively address the needs of executives and guests.
  • Understand and uphold the high standards of service expected in a luxury hotel environment.
  • Maintain strict confidentiality and discretion regarding all matters related to the executive team and hotel operations.
  • Represents the Executive Office with Integrity, by adhering to all policies stated in the Team Member handbook

SKILLS & QUALIFICATIONS:
  • Strong organizational and time management skills
  • Excellent communication and interpersonal skills
  • Demonstrated ability to communicate effectively, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software programs
  • Ability to prioritize tasks and work independently
  • Discretion and professionalism
  • Prior experience in hospitality or food service industry a plus.
  • Ability to work in a fast-paced environment.
