Job description

Description The Operations Support Specialist is responsible for general, accounting, and administrative support for office and events. Performs clerical work in support of department/program. Assignments vary and require knowledge of specific departmental procedures and practices of varying complexity and interpretation.

Works under varied levels of supervision. Examples of Duties Duties and Responsibilities: Essential Duties: Provide customer service support. Answer phones.

Process wildlife and parks licenses. Process Homestead/Safe Senior filings. Inventory Maintain and record inventory for the department.

Prepare and submit county wide inventory in compliance with statutory requirements. Airport Records Process billing for airport hangar rentals and deposit payments. Maintain and balance airport fuel usage records.

Elections Recruit election poll workers and schedule training. Management of polling sites during elections. Process candidate filings.

Prepare budget estimate for motor vehicle, excise tax, recreational vehicles and heavy trucks. Maintain and make updates to the department webpage on the County website and social media accounts. Process moving permits.

On a rotating basis, process and balance the daily Treasurer's packet, including daily motor vehicle receipts. Enter data, balance, and verify against the Treasurer's records. All other duties as assigned by the County Clerk.

Serve as backup for the following positions within the department: Operations Support Assistant Operations Support Specialist - Front Desk Commission meeting minutes and records. Maintain cemetery records and information. Process special events permit, pawn broker/precious metal licenses, and wild animal licenses.

Operations Support Specialist - Real Estate Assist with processing deed work for the tax roll. Assist with tax abstracting and statement preparation. Election Specialist Election setup, election programming, and voter registration.

Process temporary liquor permit, annual CMB license. Office Coordinator II Process accounts payable. Typical Qualifications Position Requirements: High School Diploma or equivalent required; plus 3-5 years accounting or related experience generally preferred.

Valid Driver's License required Required to work mandatory overtime, sometimes on short notice, as needed. Knowledge: Computer software programs and applications such as MS Office. County and/or city government administration.

Office administrative practices and procedures, including filing. Basic business data processing principles. Policies and procedures related to the department to which assigned.

Proper form for typed materials. Business arithmetic, including percentages and decimals. Correct English usage, including spelling, grammar and punctuation.

Record keeping principles and procedures. Skills Excellent customer service skills with the ability to interact in a positive and professional manner to develop and maintain strong working relationships with co-workers, management and general public. Excellent written and verbal communication skills with the ability to clearly communicate goals, interests, and positions during discussions.

Strong attention to detail, organizational skills, and ability to prioritize. Abilities: Ability to read, analyze, and interpret general business documents and/or governmental regulations. Ability to write reports, business correspondence, and procedures.

Ability to effectively present information and respond to questions from groups of managers, clients, customers, and/or the general public. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Must be able to analyze many variables and choose the most effective course of action for the organization at any given point in time. Ability to operate computer programs/software/platforms, to include MS Office and those used by the county to perform job duties.
