Position Objective/Description:

The Receptionist is responsible for providing administrative support, answering inquiries and providing information to the general public, customers, visitors, and other interested parties regarding activities conducted at establishment and location of departments, offices, and employees within the organization.

Essential Duties and Responsibilities:

  • Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
  • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Schedule appointments and maintain and update appointment calendars.
  • Hear and resolve complaints from customers or the public.
  • File and maintain records.
  • Receive payment and record receipts for services.
  • Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
  • Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
  • Keep a current record of staff members' whereabouts and availability.

Knowledge, Skills and Abilities:

ย  ย  ย  ย  ย  ย ย Bilingual (English/Spanish).

  • Good verbal and written communication skills.
  • Excellent interpersonal skills.
  • Able to meet deadlines and multi-task in fast paced environment.
  • Demonstrate a safety first attitude. Strict adherence to safety requirements and procedures.
  • ย Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • Knowledge of billing software, Microsoft Excel, Word, and Outlook

Physical Demands:

  • Occasionally lifts and/or moves objects weighing up to 10 pounds.
  • Regularly required to use hands and fingers to handle, feel or operate objects, tools or controls, and reach and grasp with hands and arms.
  • Physical capability to effectively use and operate various items of office equipment; such as but not limited to a phone, personal computer, calculator, copier and fax machines.
  • Vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

Education / Experience:

  • High school diploma required, or general education degree (GED)

Work Environment:

Work is predominately indoors within a usually quiet to moderately noisy environment. Considerable amount of time is spent working/sitting in front of computer.ย ย  They generally work regular business hours, however they will also be expected to work overtime to meet project deadlines.
