Overview

The Healthcare Operations Coordinator works under the general supervision of the Operations Manager, or above, to assist in day-to-day coordination of operational activities supporting clinical service delivery. The Coordinator is responsible for providing administrative support to the HealthCare Delivery Operation Manager, or above, as well as other management team members as requested. The Coordinator will assist with tracking, monitoring and controlling business processes, reviewing invoices, tracking service-related data, monitoring deliverables and participating in special projects in alignment with organizational goals. The Healthcare Operations Coordinator may also be responsible for scheduling meetings and supporting leadership with other administrative needs.

Responsibilities

Essential Functions:

  • Assist operations leaders with the development and documentation of internal organizational charts and operational procedures, including workflows, policies, and standard operating procedures.
  • Provides excellent customer service and creative conflict resolution.
  • Tracks, organizes and distributes deliverables from partners and internal management, including service line specific, department and contract deliverables such as invoices and reports.
  • Coordinates across operational leaders to support operational functions and special projects.
  • Provides support in the coordination of special projects and initiatives with internal departments.
  • Serves as a liaison with various partners and internal staff at all levels.
  • Serves as lead in processing employee expenses, tracking training and software licenses, and other items as requested.
  • Works with internal staff to ensure various invoices are tracked, reviewed and validated and that errors are identified in a timely manner.
  • Participates in audits or records review as directed by leadership.
  • Utilize critical thinking skills to assess project needs, proactively assess gaps and opportunities, and provide recommendations.
  • Updates department SharePoint site.
  • Supports Operations Manager and above with scheduling meetings.

Qualifications

Education:

  • Bachelor's degree required.

Experience:

  • 3 years experience working in an administrative role required.
  • 1 year experience working in an administrative healthcare role preferred.
  • Experience in project management or administrative activities including meeting coordination, tracking invoices or creating and maintaining documentation preferred.

Required Licenses and Certifications:

  • Driver license Valid, unrestricted driver license at time of hire
