Job description

This is an exciting opportunity for a Buyer Administrator to contribute to essential public service operations through efficient and accurate administrative support within the Supply Management team.  If you're someone who enjoys coordination, documentation, and supporting procurement functions behind the scenes, this role could be a great match for your skills. Responsibilities:
 
  • Provide administrative support to the procurement and purchasing teams, ensuring accuracy and compliance in documentation
  • Assist in the preparation, processing, and tracking of purchase orders, contracts, and related documentation
  • Communicate with vendors to gather quotes, confirm order details, and resolve discrepancies
  • Maintain accurate records in procurement systems and ensure timely data entry and file management
  • Support invoice reconciliation by matching purchase orders to invoices and flagging issues for resolution
  • Coordinate internal approvals and ensure all documentation meets City standards and policies
  • Assist buyers and procurement specialists with reporting, supplier communication, and status updates on orders
Requirements:
 
  • Previous administrative experience in a purchasing or supply chain environment
  • Familiarity with procurement processes, terminology, and documentation
  • Strong attention to detail and organizational skills
  • Proficient in Microsoft Office (Excel, Word, Outlook, and Teams)
  • Ability to manage multiple tasks and deadlines in a fast-paced setting
